Job Title: Collections Specialist (Medicaid-Focused) – Contract-to-Hire
Schedule: Monday to Friday, 9:00 AM – 5:00 PM
Dress Code: Business Professional
Job Type: Temporary-to-Hire Contract (with potential for permanent placement based on performance)
Organization Overview:
We are a mission-driven non-profit organization dedicated to supporting individuals with disabilities, primarily funded through Medicaid. Our services aim to enhance the lives of those we serve through compassionate, community-based care and advocacy.
Position Summary:
The Collections Specialist will be primarily responsible for managing the collections process to ensure timely payments from payers, with a strong focus on Medicaid. We are a well-established organization with locations across the country, and we are now building out our collections team to better support our large, high-volume billing department. This is an excellent opportunity for a driven and detail-oriented professional to contribute to a growing team and make a significant impact on the financial health of the organization.
We are looking for a go-getter—someone who is not shy, thrives in investigative work, and is exceptionally sharp with Microsoft Excel (XLOOKUPs, Pivot Tables, Formulas) and general computer use. If you are resourceful, persistent, and meticulous with a drive to improve billing and collections processes, we want to meet you.
Key Responsibilities:
+ Ensure accurate reimbursement at contracted rates from insurance providers, especially Medicaid.
+ Investigate and resolve denials by reviewing remittances, denial reports, and payer correspondence.
+ Analyze collections and A/R data to identify trends, improve DSO, and support billing improvements.
+ Use payer portals and make outbound calls to clarify and resolve outstanding or denied claims.
+ Track authorizations and ensure they align with claims for correct processing and payment.
+ Create and manage a tickler system for timely follow-up based on each payer’s filing limits.
+ Draft and submit appeals with supporting documentation for denied claims.
+ Generate and present weekly status reports on account progress and follow-ups.
+ Handle both daily tasks and special projects, while juggling multiple payer requirements.
+ Keep meticulous documentation on all account activity and communications.
+ Uphold HIPAA and confidentiality standards at all times.
+ Maintain a clean and organized workspace and assist in general office duties.
+ Collaborate closely with other departments and leadership to ensure holistic resolution of accounts.
Requirements
Key Requirements:
+ Strong command of Microsoft Excel including XLOOKUPs, Pivot Tables, and advanced formulas.
+ Confident and assertive—comfortable on the phone, proactive in follow-up, and able to ask questions to get results.
+ Technically sharp and comfortable navigating multiple systems and digital tools.
+ Excellent written and verbal communication skills.
+ Familiarity with Medicaid, Social Security, and payer regulations.
+ Working knowledge of ICD-10 codes and insurance billing.
+ Understanding of community-based services for people with disabilities.
+ Experience working with intake, authorizations, or admission processes.
+ Strong organizational and time-management skills; ability to prioritize in a fast-paced environment.
+ Proficiency with Microsoft Outlook and Word.
+ Experience with Therap software is a plus.
+ Minimum of 2 years in collections, admissions, billing, or a related administrative role.
