    Job Posting: Accounts Payable Specialist

We’re seeking an Accounts Payable Specialist to handle day-to-day AP duties, with opportunities to back up payroll and contribute to our dynamic team.     Job Responsibilities:

    Accounts Payable (Bulk of Day-to-Day):

    + Invoice Processing: Handle AP for high-volume commercial market, with 20–30+ invoices daily from key vendors and additional accounts.

    + Vendor Management: Follow up with vendors to chase down invoices or resolve minor issues.

    + Check Runs: Prepare weekly check runs by Thursday afternoon and collaborate with management for timely approval and mailing.

    + Data Entry: Accurately input vendor invoices and payment details into the system (transitioning from QuickBooks Desktop to Foundations software on Jan. 1).

    + Document Management: Maintain electronic and physical files for AP vendors and ensure proper organization for easy access.

    Payroll Support:

    + Assist with basic payroll-related functions, including reviewing timesheets and processing payroll through the Foundations app and our third-party payroll system.

    + Provide backup payroll support to Steffany when needed, with training provided by senior staff.

    General Admin Tasks:

    + Support additional administrative tasks, including managing files and document uploads as part of the new Foundations system.

    Requirements

    Qualifications

    + Experience: 1–3 years in Accounts Payable or Accounting roles (exposure to payroll is a bonus).

    + Tech Savvy: Familiarity with accounting systems like QuickBooks, willingness to learn Foundations software.

    + Skills: Detail-oriented with excellent data entry and organizational skills.

    + Personality Fit: Team player who embraces a collaborative, "all hands-on deck" approach. No "not my job" mentality!

    + Education: High school diploma or equivalent; accounting coursework or certification preferred.
