Description We are looking for a highly organized and proactive Executive Assistant to provide dedicated support to the General Manager and Assistant General Manager. As part of this long-term contract position, you will play a pivotal role in ensuring seamless day-to-day operations through effective administrative and executive support. This position is based in New York, New York, and offers an exciting opportunity to contribute to a dynamic and fast-paced environment.
Responsibilities:
• Manage and coordinate complex schedules, including booking appointments and organizing meetings.
• Serve as a gatekeeper by monitoring and prioritizing incoming requests and correspondence.
• Prepare detailed reports using Excel and assist in the creation of PowerPoint presentations with attention to detail.
• Handle expense reporting and reimbursement processes with accuracy and efficiency.
• Welcome guests and VIPs, ensuring a hospitable experience with attention to detail.
• Maintain office supplies and kitchen inventory to support a well-stocked and organized workspace.
• Assist in the preparation of conference calls and virtual meetings using platforms such as Cisco Webex.
• Collaborate on administrative tasks as assigned to support team functionality and efficiency.
• Utilize systems like Kronos and Concur to manage timekeeping and expense activities.
• Facilitate communication between departments and stakeholders to ensure smooth operations. Requirements • Proficiency in ADP Financial Services and experience with CRM platforms for organizational tasks.
• Familiarity with Cisco Webex Meetings and Concur for virtual collaboration and expense management.
• Strong skills in calendar management and scheduling for executive-level personnel.
• Excellent verbal and written communication abilities to handle correspondence and interactions.
• Experience organizing conference calls and managing meeting logistics effectively.
• Knowledge of Kronos Timekeeping System and About Time tools for administrative processes.
• Advanced proficiency in Microsoft Excel and PowerPoint for reporting and presentations.
• Ability to multitask and adapt to changing priorities in a fast-paced environment. TalentMatch®
