Job Summary:
Upstate Urology is seeking a highly organized and detail-oriented Administrative Assistant I to join our dynamic team. In this role, you will play a key part in providing secretarial, administrative and office management support in an Ambulatory care setting scheduling surgeries in an appropriate scheduling system in an accurate and timely manner. .
Responsibilities included but not limited to:
+ New patient referrals, Patient registration including check in, obtaining insurance cards, obtaining signatures on consent forms, scheduling and rescheduling patient appointments.
+ Review and verify all required elements are present to proceed with surgical case booking, and contacts provider if needed information is missing.
+ Works closely with OR schedules, coordinating Provider schedules, identify and resolve any room/equipment requirements.
+ Schedules pre-testing and medical clearances, and performs follow-up as needed. Identifies appropriate CPT codes for all procedures/ surgeries.
+ New patient referrals, scheduling and rescheduling patient appointments and scheduling ancillary testing.
+ Co-pay collection, obtain or coordinate required authorizations and pre-paperwork for all procedures/ surgeries ordered and inputs into the Epic referral record.
+ May require secretarial/office skills such as transcription or dictation.
+ Communicates all necessary information with patients, patient's family, staff of patient's facility, and surgery center/OR staff.
+ Other various tasks related to surgery scheduling and other office duties as assigned.
Minimum Qualifications:
Three years of secretarial/administrative experience, or an Associate's degree and one year of experience required, or equivalent combination of education and experience.
Excellent communication and organizational skills, computer skills, and strong customer service skills required.
Experience with front desk reception, multi-line phone system, fax and scanning devices.
Preferred Qualifications:
Experience in specialty medical office front desk experience.
Knowledge and use of EPIC electronic medical record system.
Experience with Operating Room or procedural scheduling, and basic knowledge of CPT codes.
Experience with insurance authorization process for specialty services procedures and treatments.
Experience in registering patients and discharging patients and knowledge of medical terminology strongly preferred.
Work Days:
Monday - Friday, Hours are 8:00 am - 4:30 pm
