    Overview

     

    *This position location is flexible to work at one of our offices located in Pittsford, NY, Ithaca, NY, or Batavia, NY. Selected candidate must be able to work in the office two (2) days a week.*

     

    This role s upport s the IT department through skilled administrative management and high-level project support . Manage department administrative tasks while assisting IT Leaders with IT projects and initiatives . Coordinate information collection for all IT audit and exam activities . Administrate department procurement process . Maintain the confidentiality of sensitive information .

    Responsibilities

    Project Coordination and Support:

    + Assist IT managers with planning, execution and completion of IT projects.

    + Maintain project documentation, prepare project status reports, and update project schedules.

    + Facilitate communication amongst project team and stakeholders

    + Arrange project meetings, prepare agendas, and record project meeting minutes.

    Compliance/Audit:

    + Manage the notification, archiving, and tracking of SSAE 16/SAS 70 documents and responses within the compliance database.

    + Collaborate with the Audit team to develop and maintain an up-to-date department policy calendar.

    + Coordinate gathering, consolidation and delivery of IT audit and IT exam information.

    + Request and update the audit tracking schedule for discussions with the IT Leadership team.

    IT Purchasing, Procurement, Contracts and Budget:

    + Process requisitions, purchase orders, and receipt of orders using the Purchasing System, ensuring compliance.

    + Monitor departmental purchasing activities through Purchasing System reports to ensure alignment with budgetary constraints and financial policies.

    + Conduct day-to-day research, processing, and payment of IT-related invoices, ensuring accuracy and timely payment.

    + Assist in the preparation of the department's budget

    + Obtain quotes, necessary documentation, and signatures for licensing renewals and contracts, ensuring compliance with financial and regulatory requirements.

    + Monitor and administer contracts, vendors, and services in the Third-Party Risk Management (TPRM) database as requested, ensuring adherence to financial industry standards.

    Administration:

    + Coordinate agendas for IT Leadership Meetings and accurately record meeting minutes

    + Coordinate and publish updates to the IT Workplan and IT Project Portfolio

    + Record minutes for the Project Governance Council, Communication and Change Management meetings, Technology and Information Security Committee, Third-Party Risk Management, and other various committees requested, ensuring thorough documentation.

    + Manage and organize IT departmental schedules, meetings, and appointments, optimizing time management for financial IT operations

    + Schedule meetings for the Chief Technology Officer and department officers.

    + Manage IT department calendars upon request.

    + Assist in maintaining IT Intranet and SharePoint sites

    + Assist with all day-to-day duties required within the IT department as requested, providing comprehensive administrative support.

     

    All other duties as assigned.

    Qualifications

    + Associate’s degree in information technology, Business Administration, or a related field required. Bachelor’s Degree Information Technology, Business Administration, or a related field preferred.

    + A minimum of five (5) years’ administrative experience required. Three to five years’ project management experience is preferred.

    + Demonstrated experience in managing or supporting IT projects and initiatives.

    + Proficiency in office software (e.g., Microsoft Office Suite) required.

    + Excellent organizational, analytical and multitasking skills.

    + Strong communication and interpersonal skills with the ability to maintain the confidentiality of sensitive information.

    + Moderate computer and technical reporting skills.

    Pay Range

     

    USD $26.50 - USD $32.00 /Hr.
