General Function
The Faculty or Staff Ombuds serves as a neutral, confidential, and informal resource for Missouri State University faculty or staff, providing a safe space to discuss concerns, explore options, and resolve conflicts. The Ombuds promotes fairness, equity, and civil discourse while helping individuals navigate university systems and policies. This role is part-time (10 hours per week) in addition to the employee’s primary responsibilities and is appointed for a three-year term with an annual stipend.
Description of Primary Duties
This is an internal posting for the consideration of full time University employees only.
The Faculty or Staff Ombuds serves as a neutral, confidential, and informal resource for Missouri State University faculty or staff, providing a safe space to discuss concerns, explore options, and resolve conflicts. The Ombuds promotes fairness, equity, and civil discourse while helping individuals navigate university systems and policies. This role is part-time (10 hours per week) in addition to the employee’s primary responsibilities and is appointed for a three-year term with an annual stipend.
1. Serve as a neutral, confidential, and informal resource for faculty, staff or students seeking guidance on university-related concerns.
2. Listens actively, clarify concerns, and help individuals explore available options and resources.
3. Explains relevant university policies, procedures, and available formal channels.
4. Coaches individuals in addressing and managing workplace or academic issues independently.
5. Conducts informal fact-finding and shuttle diplomacy between parties to facilitate resolution.
6. Provides referrals to appropriate university offices for formal complaints or procedures.
7. Identifies trends or systemic issues and make non-identifiable recommendations to improve institutional policies and practices.
8. Maintains the confidentiality of all communications except in cases required by law or authorized by the individual.
9. Adheres to the principles of the International Ombuds Association: confidentiality, neutrality, independence, and informality.
10. Participates in initial and ongoing professional training through the International Ombuds Association and internal university offices.
11. Provides an annual report of de-identified trends and activities to the Office of the President.
12. Promotes a culture of respect, understanding, and collaboration within the university community.
13. Upholds the integrity and independence of the Ombuds Office.
14. Maintains accurate and secure records of Ombuds activities in accordance with best practices.
15. Collaborates with other university offices as appropriate while maintaining confidentiality.
16. Supports the development and visibility of the Ombuds Office across campus.
Minimum Acceptable Qualifications
Education: A bachelor’s degree is required. An equivalent combination of years of experience and education may be considered for substitution of educational requirements.
Experience: Faculty or Staff Ombuds must be a full-time exempt employee of Missouri State University.
Skills: Must have strong interpersonal, problem-solving, and communication skills as well as the ability to maintain neutrality and confidentiality in all situations and high ethical standards and sound judgment.
Other: Supervisor approval must be obtained to ensure Ombuds duties do not interfere with primary responsibilities. Position is a three-year non-renewing term, contingent upon acceptable job performance.
