Job Details The System Assistant Director of HIM Operations is responsible for Assisting the System Director of Operations with the day to day operations of the Health Information Department. Provides for direct supervision of and coordination of managers, including Chart Completion, Document Management, Data Integrity and Release of Information. Coordinates activities of managers to ensure optimal and efficient operations which align to projected goals. Identifies and proposes solutions to daily challenges that arise and is able to work with staff to achieve desired outcomes. Responsibilities: Assists the Director of HIM Operations and works with managers to evaluate daily workflow and work distribution to ensure goals are being met. Conducts studies and analyzes reports and makes recommendations concerning staffing, and workflow. Has immediate responsibility for and acts as the primary consultant to hospital staff or outside agencies regarding issues concerning the disposition of patient medical records and services provided by the HIM Department. Participates in development and maintenance of computer software as it relates to the EMR. Assists the Director of HIM operations in the budget process. Works with the Director of HIM Operations to create policies and procedures necessary for effective and efficient systems and management of human resources. Responsible for oversight of annual employee evaluations. Ensures that staff have the tools they need to succeed in their daily tasks. Works with other departments such as IT to coordinate and resolve issues that disrupt workflow. Administers the departmental orientation program that is documented for each new employee. Oversees medical record requests from regulatory agencies and ensures timely response and notification of senior leadership when appropriate. Oversees requests for audits and ensures that requests are answered within designated timeframes to prevent loss of revenue. Maintains a sensitive, fair and impartial approach to dealing with employees. Supports and maintains a culture of safety and quality. Uses accurate, clear and concise oral and written communication. Interacts positively with members of the medical staff by cultivating liaisons and promoting interaction. Attends meetings, prepares reports and analyzes and provides recommendations in a timely and accurate manner. Assumes the responsibility for successfully fulfilling standards and criteria of licensing and accrediting agencies. Is responsible for maintaining performance improvement activities in the department and is responsible for educating staff on performance improvement activities. Represents the hospital in court cases involving subpoena of medical or clinical records. Enforces suspension policy for delinquent medical records. Completes annual education requirements. Maintains regulatory requirements, including all federal, state, local regulations and accrediting organization standards. Maintains and ensures patient confidentiality at all times. Reports to work on time and as scheduled and wears identification while on duty. Attends annual review and performs departmental inservices. Works at maintaining a good rapport and a cooperative working relationship with physicians, departments and staff. Represents the organization in a positive and professional manner. Attends committee, CQI and management meetings, as appropriate. Resolves staff concerns at the departmental level, utilizing the grievance process as required. Ensures compliance with policies and procedures regarding department operations, fire, safety, emergency management and infection prevention and control. Effectively and consistently communicates administrative directive to staff and encourages interactive departmental meetings and discussions. Complies with all organizational policies regarding ethical business practices. Communicates the mission, ethics and goals of the hospital, as well as the focus statement of the department. Qualifications and Requirements: Degree as a Registered Health Information Administrator (RHIA) from an accredited school. 5 or more years of previous hospital experience in all aspects of health information management functions preferably as a department director. Knowledge of accrediting organization standards and state regulations for both acute and skilled nursing facilities Ability to work with physicians in a collaborative manner. Able to communicate effectively, both verbally and in writing. Extensive knowledge of Electronic Medical Record systems, including clinical and revenue cycle components. Ability to operate the following equipment; scanner, microfilm reader/printer, copy machine, fax machine. Extensive knowledge of rules and regulations relating to record retention and storage. Salary Range USD $115,000.00 - USD $140,000.00 /Yr. This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate’s qualifications, skills, competencies and experience. The salary range or rate listed does not include any bonuses/incentive, or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
