THE ROLE
We are seeking a highly organized, proactive Executive Assistant to support one of our senior executives. This role is ideal for someone with 3–5 years of experience providing administrative support in a fast-paced, professional environment. The role will focus on calendar management, meeting coordination, travel arrangements, and general administrative support. This is a full-time, on-site position based in our Beverly Hills corporate office.
WHAT THIS ROLE WILL DO
+ Manage and maintain daily calendars, prioritize appointments, and coordinate internal and external meetings for executive and a few of executive’s direct reports
+ Arrange domestic and international travel, including transportation, accommodations, and itineraries for executive and a few of executive’s direct reports
+ Confirm executive’s daily schedules and ensure the executive is prepared with relevant context and materials
+ Track and submit monthly expense reports; assist with purchase orders and invoice processing for executive and a few of executive’s direct reports
+ Support day-to-day communications, including email and phone correspondence on behalf of the executive
+ Process and track vendor agreements and invoices, project budgets and schedules, and assist with project team onboarding and offboarding
+ Maintain confidentiality and discretion across all matters
+ Serve as liaison to internal teams and external partners, ensuring timely and professional communication
+ Provide administrative support for occasional personal tasks and errands as needed
+ Partner closely with other Executive Assistants for seamless team support and backup coverage
WHAT THIS PERSON WILL BRING
+ 3–5+ years of Executive Assistant experience, preferably supporting entrepreneurs and/or c-suite executives in the creative or tech industry
+ Proven ability to manage multiple priorities and adapt quickly to changing demands
+ Strong organizational and time management skills with acute attention to detail
+ Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail), Microsoft Office, and communication platforms such as Zoom, Slack, and Box
+ Excellent written and verbal communication skills
+ Experience with booking commercial as well as private travel
+ Ability to work independently, exercise good judgment, proactively identify areas in which to assist executive and new/better approaches/systems/processes to prioritizing and completing tasks, and maintain discretion in handling sensitive information
+ Bachelor's degree required

The expected compensation for this position is:
$34.62 USD - $43.27 USD Hourly
** Pay is based on a number of factors including market location, qualifications, skills, and experience.
