    Minimum Qualifications:

    + A high school diploma or its equivalent- or one year of secretarial or clerical work experience.

    + Proficiency in the use of personal computers including software such as MS Office Word, Outlook, and Excel.

    Preferences:

    + Fluency in Spanish.

    + Two years of secretarial or clerical work experience.

    + Experience with customer service.

    + Experience with mail merges.

    + Experience with MyFloridaMarketplace.

    Duties and Responsibilities:

    + Answers main telephone line; coordinates all daily mail delivery sorting and distribution; greets all visitors. Assists in the operation of the grants section including panel meetings, applications, and contracts.

    + Prepares annual award documents for all grant programs. Creates the Excel spreadsheet for tracking each award contract. Keeps the spreadsheet accurate and up to date. Executes all contracts in dosgrants.com.

    + Coordinates and delivers panelist notebooks according to the set schedule. Provides support for the grant panels. Assists in creation of meeting documents for the Florida Council on Arts & Culture.

    + Maintains Division purchase orders and supplies.

    + Creates correspondence as directed by program managers.

    + Performs other work-related duties as required.

    Knowledge/Skills/Abilities:

    + Ability to proficiently use personal computers including software such as MS Office Word, Outlook, & Excel.

    + Ability to effectively communicate through oral and written communications.

    + Ability to plan, organize, and coordinate work activities under strict deadlines.

    + Ability to establish and maintain effective working relationships.
