Job Summary and Qualifications
Responsible for efficiently coordinating the daily operations of the front office and ensures accurate scheduling for the department and facility.
Essential Job Functions:
1. Maintain personnel diaries and evaluates work performance of staff in a timely manner utilizing positive coaching and team building skills.
2. Coordinate patient flow throughout facility and maintains awareness of schedule to minimize delays. Maintains communication with scheduling staff throughout the day regarding schedule changes and time status.
3. Remains visible and accessible to incoming visitors at all times and recommends and obtains additional temporary coverage as necessary.
4. Explains paperwork, answers questions, and obtains all appropriate information and signatures. Makes copies of all insurance cards and collects co-pays/cost-shares as appropriate.
5. Notifies patients of delays in the schedule and approximate wait time. Follows up on all patients who do not show up for their exam.
6. Answers and routes phone calls appropriately and in a professional manner.
7. Enters data into the IDX system and accurately indicates add-ons, work-ins and in-patients in IDX. Documents appropriate information on the report-tracking sheet accurately and completely.
8. Annotates all scheduling changes appropriately in the patient’s history notes.
9. Will be responsible for enforcing all front Office Policies and Procedures.
Additional Job Functions:
1. Immediately reports any equipment malfunctions to supervisor.
2. Orients new personnel and assists in their transition to the work environment as assigned.
3. Provides backup assistance to other associates in the department upon completion of duties or as assigned by supervisor.
4. Supports the mission and vision of Methodist Healthcare System and demonstrates excellent customer service at all times.
5. Understands and is committed to helping Methodist Healthcare System and its associated facilities achieve its goals.
6. Must learn and comply with System and facility safety policies and rules; must use appropriate safety equipment and procedures at all times; must immediately report all unsafe conditions to supervisors; must be familiar with all safety features of equipment, tools or materials encompassed by job duties; and must check with supervisors (prior to job performance) if there is a question as to the safe and appropriate process and/or procedure to be used for any job function.
7. Adheres to the MHS Code of Conduct and demonstrates ethical behavior as expected by our patients, colleagues and the community. Understands the personal obligation to report any activity that appears to violate applicable laws, rules and regulations or the Code of Conduct itself. 8. Completes other duties as assigned.
Minimum Education and Experience:
1. High School graduate (or GED); proficiency in operating modern communications systems/equipment and office equipment.
2. Must possess a functional knowledge of medical terminology.
