    Position Summary:

    Florida Atlantic University is seeking a Program Manager, Internal Medicine - Boca Raton, FL.

     

    The Program Manager, Internal Medicine reports directly to the Senior Residency Program Manager, Internal Medicine Residency. The Program Manager position provides a wide range of complex administrative functions to support the mission, goals and objectives of the Internal Medicine Residency (IM). Residency is the next step in a physician’s life-long journey of learning on behalf of their patients. It is also the next step in Florida Atlantic University’s Schmidt College of Medicine's commitment to that same goal – the continuum of excellence in medical education.

    Summary of Responsibilities:

    + P rovide academic administrative support to the FAU College of Medicine's Internal Medicine Residency program, Pulmonary and Critical Care Fellowship and Geriatric Medicine Fellowship office in support of the Internal Medicine Residency Program, Pulmonary and Critical Care Fellowship and Geriatric Medicine Fellowship Director and the Internal Medicine Senior Residency Program Manager.

    + Supervise, train, and guide program administrative personnel.

    + Prepare documents and reports for various agencies and compose confidential, complex and substantive program correspondence.

    + Ensure compliance of all programmatic functions according to most up-to-date ABIM, ACGME and FAU regulatory guidelines, submitting required reports and forms as scheduled.

    + Manage electronic information systems related to collecting and storing program and trainee data, including but not limited to ACGME Web ADS, ABIM, ERAS, NRMP, and GME Track/National GME Census and the program website, ensuring accurate program and trainee data and generating reports and documentation as necessary.

    + Maintain C-TAGME certification through national conference attendance and professional development activities.

    + Oversee maintenance of data within the Residency Management Software system (MedHub) such as scheduling, demographics, certifications, test scores; auditing trainee compliance in the areas of work hours, USMLE/COMLEX examination completion, absences, and certifications; addressing noncompliance in collaboration with senior administrators.

    + Develop and maintain internal program record-keeping processes to ensure confidential program and resident records management.

    + Manage and assist with the recruitment and selection process including application collection, selection committee meetings, interview scheduling, and information technology use.

    + Guide program administrative personnel in on-boarding processes in collaboration with the GME office, including delivery and collection of onboarding requirements, credentialing processes, orientation activities, and human resource systems management (Workday).

    + Manage resident spend authorizations, expense reports, board review funds, educational stipends.

    + Maintain all resident conference travel data for Program Director and Senior Program Manager.

    + Manage program evaluation construction, delivery, and collection, alerting the program director to any evaluations of concern.

    + Construct and maintain the academic and holiday schedule in coordination with the Senior Program Manager.

    + Build and monitor ILP quizzes and proctor In–service examinations.

    + Arrange and staff all educational meetings, faculty meetings, and conferences related to the residency programs (i.e., Clinical Competency Committee meetings, Program Evaluation Committee meetings), including preparation of reports, agendas, program handouts, attendance sheets, and preparation of minutes.

    + Organize and facilitate program special events including Research Symposium, PG1-PGY2 transition, wellness activities, graduations, and retreats.

    + Attend GMEC and GME coordinator meetings.

    + Manage Internal Medicine residency program website in coordination with College of Medicine Marketing team to update changes required for the program.

    + Manage allocations, expense tracking, and reconciliation of a large sum budget in collaboration with the Internal Medicine Residency Program Senior Program Manager.

    + Perform other job-related duties and complete projects as assigned by the Senior Program Manager, Program Director, or Chair.

    Minimum Qualifications:

    High school diploma and 5 years of appropriate professional/specialized experience required. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

     

    Valid Driver's License required; ability to travel to off-site locations.

    Preferred Qualifications/Skills:

    A bachelor’s degree from an accredited institution in an appropriate area of specialization and 1 year of appropriate experience.

     

    Experience in a higher education institution, medical school, or hospital highly.

     

    Ability to work collaboratively with all levels of faculty, staff, and students. Exceptional verbal and written communication skills are essential for success in this position.

     

    Proficiency in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel.

     

    Exceptional customer service, organizational and time management skills.

    Salary:

    $65,000 per year.
