    Description We are looking for an Administrative Assistant to join our team in Pacific, Washington. This Contract-to-Permanent position is ideal for someone eager to learn and grow within a dynamic environment. The role involves a blend of administrative tasks and light construction-related responsibilities, offering the opportunity to develop valuable skills.

    Responsibilities:

    • Manage contract administration and oversee monthly billing processes, including subcontractor and job cost billings for materials, labor, and prevailing wage compliance.

    • Ensure accurate documentation for certified payroll and prevailing wage requirements.

    • Enter and code work hours by job, state, and category to facilitate precise billing and reporting.

    • Process and reconcile purchase orders and vendor invoices to maintain financial accuracy.

    • Maintain organized records for work orders, job costing, inspections, and billing schedules.

    • Utilize Timberline (Sage 300) software to manage job costing, billing, and reporting workflows.

    • Provide comprehensive administrative support across the department, acting as a liaison between field and office teams.

    • Prepare monthly job cost reports and generate regular updates for managers and accounting staff.

    • Handle commercial collections, resolve invoice-related inquiries, and assist customers with payment issues.

    • Track project workflows, monitor deadlines, and ensure tasks are completed on schedule. Requirements • Minimum of 2 years of experience in an administrative or related role.

    • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

    • Familiarity with certified payroll processes and prevailing wage documentation is a plus.

    • Ability to manage job costing tasks and use software like Timberline (Sage 300).

    • Strong data entry skills and attention to detail for accurate coding and reporting.

    • Excellent customer service and communication skills, both written and verbal.

    • Capable of handling inbound and outbound calls professionally.
