Description
The Senior Accounts Payable Specialist will be responsible for managing the accounts payable function, ensuring payment processes are executed accurately, efficiently, and in compliance with university policies and regulatory requirements. This position will play an integral role in streamlining processes, optimizing workflows, and supporting the university’s mission through effective financial management. This position is onsite in Charlestown, MA.
Key Responsibilities:
+ Invoice Processing: Review, verify, and process high volumes of invoices daily while ensuring compliance with university policies and procedures.
+ Vendor Management: Establish and maintain positive relationships with vendors, addressing inquiries and resolving discrepancies promptly.
+ Payment Execution: Prepare and execute vendor payments while maintaining strict adherence to schedules and deadlines for payment cycles.
+ System Optimization: Utilize financial software and systems to improve accounts payable efficiency; suggest improvements to workflows and automation solutions where applicable.
+ Policy Compliance: Ensure compliance with IRS regulations, university policies, and governmental reporting requirements for transactions.
+ Reconciliation: Perform monthly accounts payable reconciliations, resolve issues promptly, and assist with audits.
+ Collaboration: Work closely with the procurement, finance, and academic departments to address unique payment needs and enforce financial protocols.
Requirements
Qualifications:
+ Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
+ Experience: Minimum of 5 years of accounts payable experience, preferably in a higher education or non-profit environment.
+ Technical Skills: Proficiency with financial management systems (e.g., Oracle, Workday, SAP) and Microsoft Excel (pivot tables, v-lookups, etc.).
+ Knowledge: In-depth understanding of accounts payable best practices, regulatory requirements, and GAAP principles.
+ Communication Skills: Strong interpersonal and verbal/written communication skills for internal coordination and external vendor management.
+ Attention to Detail: Superior analytical and organizational skills with a proven ability to manage competing priorities.
