JOB SUMMARY:
Provide support for the Director of Administrative Affairs. Support will include processing and maintaining accurate records for: the affiliation agreements for all CNPH clinical and practicum placements, invoices, faculty travel and contracts for outside vendors, including performance and speaking agreements. Assist Associate Deans by providing accreditation-related support.

SALARY INFORMATION:

REPORTS TO:Director of Administrative Affairs, Associate Deans and Office Manager
RESPONSIBILITIES & DUTIES:
+ Assure that clinical affiliation agreements required for all academic semesters are secured and confirmed.
+ Send out agreements to new facility contacts established by program directors or coordinators.
+ Work in collaboration with University Contracts/Legal office.
+ Maintain accurate files and records of all affiliation agreements and correspondence.
+ Maintain accurate listing of affiliation agreements, programs covered, and expiration dates.
+ Work directly with Director of Administrative Affairs to confirm agreements meet AU requirements.
+ Complete affiliation agreement reports for NYS and accrediting associations for all CNPH programs
+ Serve as liaison with Clinical Placement office and Graduate Clinical Placement Coordinator.
+ Request quotes and process outside vendor contracts, performance and speaking agreements.
+ Assist Director of Administrative Affairs with processing faculty travel requests and reimbursements.
+ Onboard visiting scholars (non-AU practicum students)
+ Provide backup to Director of Administrative Affairs on eProcurement for all purchasing for CNPH.
+ Support for: Multiple pinning ceremonies, including the program, preparing award/prize letters and certificates, and ordering plaques; CNPH Award ceremony, including the program, preparing scholarship award letters and certificates and ordering plaques
+ Assist Associate Deans with accreditation support and other duties as indicated
+ Perform other job related duties as assigned.
REQUIREMENTS: (Knowledge, Skills and Abilities)
+ Excellent computer skills with experience using Windows, Microsoft Word, Excel, and Google Suite (GMail, Calendar, Docs, Sheets, Forms)
+ Great written and administrative skills.
+ Great interpersonal skills.
+ Great organizational skills and attention to detail.
+ Ability to prioritize workload according to volume, urgency, etc.
+ Must be dependable and able to meet deadlines
+ Ability to be discrete and maintain high confidentiality on a wide range of issues.
+ Ability to work with students and colleagues in a diverse environment.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
+ Bachelor’s degree is required.
+ Minimum of two years of administrative/clerical experience is required.
HOURS:
+ Monday through Friday 8:30 AM – 4:30 PM
