    The Department of Genetic Medicine is seeking a **_Medical Training Program Administrator_** to oversee their Education and Training programs which include five separate clinical Accreditation Council for Graduate Medical Education (ACGME)-approved programs: i) a categorical Medical Genetics residency and fellowship program which also involves a collaboration with a similar NIH/NHGRI Medical Genetics Fellowship Program; and ii) four combined residency programs with Pediatrics, Internal Medicine, Maternal Fetal Medicine (MFM), and Reproductive Endocrinology and Infertility (REI). Additionally, there are two ACGME-approved laboratory genetics training programs: one in Biochemical genetics and one in Laboratory Genetics and Genomics (LGG) which includes cytogenetics and molecular genetics. The primary responsibilities of the Medical Training Program Administrator include: (1) overseeing daily operation and administration of all of the above training programs; (2) maintaining training requirement and program accreditations by ACGME and the Resident Review Committee (RRC); (3) assisting in the development and implementation of state-of-the-art medical education activities for these programs; and (4) overseeing credentialing for clinical trainees, research fellows, and other learners as needed.

    Specific Duties & Responsibilities

    + Oversee daily operation and administration of the training programs; schedule, manage, and evaluate all clinical and research rotations and related educational activities for residents.

    + Oversee all aspects of appointments and credentialing for the department.

    + Serve as the first line of contact to the Johns Hopkins training programs and coordinate training needs with the Medical Genetics Fellowship program at NHGRI.

    + Facilitate and manage yearly resident recruitment - collaborate with NHGRI, screen applications and personal statements.

    + Organize and develop orientation for new residents, students, and fellows – including registration for clinical access, payroll, and clinical course work.

    + Assist in program budget planning and financial management.

    + Electronically maintain all information and documents on the DGM drive.

    + Monitor and maintain data programs (E-value, etc) for upgrades and enhancements; provide recommendations to the program director. Process payroll and employment transaction for learners in HRIS system (Employment Actions/SAP). Ensure post-doc and resident learners are hired, terminated, and receive salary increases in the system timely and accurately.

    + Assist with the development and implementation of a systematic process to evaluate the quality of training and education (clinical and non-clinical).

    + Monitor and ensure compliance of residents and the training programs with ACGME and RRC’s regulations and requirement; Maintains compliance with national organizations and reports program information to these organizations.

    + Reviews fellowship appointment paperwork from Medical Staff Office, Post Doc Office and the DGM for accuracy completeness prior to submission for Director’s sign-off.

    + Liaison between the DGM, JHU Postdoctoral Office and the JHU International Office for all Visa matters within the department.

    + Ensures that the DGM follow appropriate departmental policies and procedures related to executing the credentialing processes in accordance with JHH and JHU School of Medicine policies, government regulations and JCAHO guidelines.

    + Assist with the design and development of educational curriculum for all four Johns Hopkins training programs.

    + Assist in the development of collaborative training with the Medical Genetics Fellowship program at NHGRI.

    + Monitors progress of credentials verification by MSO staff to meet required start date. Assists MSO liaison in credentialing “urgent” appointments. Assists MSO by obtaining missing components of credentials file.

    + Complete program survey and organize yearly program evaluation and supervisors’ meeting.

    + Assist in the implementation of educational courses, lectures, programs, and tools for the training programs, in charge of maintenance for a teaching database with relevant education materials.

    + Acts as a liaison with outside institutions and outside rotation site personnel regarding rotating trainees.

    + Works with the clinical competency committee to collect and analyze data for biannual review and data input to ACGME database and ensure full compliance with ACGME requirements.

    + Complies with reporting requirements of the University and ACGME.

    + Informs and coordinates the DGM personnel about credentialing policies and procedures for research fellows, rotators, observers, trainees, moonlighters, clinical staff and clinical faculty.

    + Ensures that the DGM divisions follow the JHH Medicine Administration and the School of Medicine policies for fellowship, moonlighting, and contract physician appointments, as well as reciprocity review, for the Chairman’s Office.

    + Oversees annual fellowship and reappointment process for JHU and submits appropriate documentation to Registrar annually.

    + Interacts with fellows, trainees to meet application requirements. Obtains primary source degree verification. Submits completed application and required documents to SOM Registrar’s Office, Hospital, or International Office.

    + Advises applicants, sponsoring faculty, various administrative staff of status of appointments throughout process and when approval is obtained.

    + Screens credentials file prior to submission to MSO liaison. Alert HR Manager about concerns in file. Flags non-standard delineation of privilege forms. Anticipates questions and works with applicant and Director to resolve potential issues prior to submission.

    + Prepares in final form appropriate appointment request forms for all new appointments, reappointments, termination and changes to fellows/trainees. Obtains signature by Director or his designee and submits to JHU Registrar’s Office

    + Attends JHH Medical Staff Department Coordinator Meetings. Serve as a liaison to Departmental Director and Clinical Director with respect to guidelines or procedures set forth by the JHH or JHU Registrar’s Offices. Attends other meetings as needed.

    + Be highly organized and detail-orientated to function efficiently in an academic environment

    + Demonstrate the ability to represent the program effectively and professionally.

    + Be highly motivated and interested in program building and residency education.

    + Show good work ethics and utilize constructive criticism to improve own work performance.

    Minimum Qualifications

    + Bachelor's Degree.

    + Four years related administrative experience.

    + Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.

    Preferred Qualifications

    + Advanced Degree.

     

    Classified Title: Medical Training Program Administrator

    Role/Level/Range: ACRP/03/MC

    Starting Salary Range: $48,000 - $84,100 Annually ($66,000 targeted; Commensurate w/exp.)

     

    Employee group: Full Time

     

    Schedule: M-F, 8:30 to 5pm
