Overview

We are seeking a detail-oriented and proactive Administrative Analyst to support our Operations Team at a leading facility services company in Utica, NY. This role is critical in streamlining administrative processes, analyzing operational data, and supporting project execution to ensure efficient service delivery across our facilities portfolio.

Key Responsibilities:

• Analyze operational data to identify trends, inefficiencies, and opportunities for process improvement.

• Support the Operations Team with scheduling, resource allocation, and performance tracking.

• Prepare and maintain reports, dashboards, and documentation related to facility operations.

• Assist in the development and implementation of standard operating procedures (SOPs).

• Coordinate with vendors, subcontractors, and internal teams to ensure timely service delivery.

• Monitor compliance with safety, quality, and regulatory standards.

• Manage and update databases, work order systems, and maintenance logs.

• Provide administrative support for budgeting, procurement, and inventory control.

Qualifications:

• Bachelor’s degree in Business Administration, Operations Management, or a related field is highly preferred.

• 2+ years of experience in an administrative or analytical role, preferably in facility services or operations required.

• Strong proficiency in Microsoft Excel, Word, and PowerPoint; experience with CMMS or internal reporting systems is a plus.

• Experience with work order systems is a plus.

• Excellent organizational, analytical, and communication skills.

• Ability to work independently and collaboratively in a fast-paced environment.

Preferred Skills:

• Familiarity with facility management, maintenance operations, or service delivery models.

• Experience with data visualization tools (e.g., Power BI, Tableau).

• Knowledge of OSHA and other regulatory compliance standards.

Work Environment:

This role is primarily office-based with occasional site visits to facilities within the Utica area. Standard business hours apply, with flexibility for urgent operational needs.

**Compensation** : $50,000-$68,000 annual salary (US Dollars) The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data. You may be eligible to participate in a Company incentive or bonus program
