Job Summary:
The Executive Assistant is responsible for providing comprehensive administrative and operational support to the Vice President of Hospitality Operations – Enterprise, and their Senior Leadership Team (SLT), including the regional VPs of Hospitality. This position must be committed to completing a wide variety of administrative tasks independently, with strong attention to detail, accuracy and follow-through. This includes scheduling, travel and expense management, and designing, building, executing and managing processes to drive efficiency and effectiveness for the VPs and Hospitality Division, in alignment with company priorities.
The ideal candidate will be highly organized, proactive, and possess exceptional communication and interpersonal skills. This role requires the ability to handle a wide range of administrative and executive support tasks with professionalism, discretion, and efficiency. This position is expected to understand the entire Hospitality Leadership Team’s schedule and priorities and support the team in maximizing their time and focus through forward-thinking partnerships. This position will report to the Senior Analyst.

Job Responsibilities:
+ Provide poised, resourceful and consistent administrative assistance to the VPs of Hospitality. Demonstrate an ability to multi-task, accomplish goals and meet deadlines in a fast-paced work environment.
+ Calendar Management: Manage, plan, and coordinate complex and ever-changing calendars for VPs, including scheduling meetings, coordinating appointments, and proactively resolving scheduling conflicts.
+ Travel Arrangements: Arrange domestic and international travel accommodations for VPs, including flights, hotelreservations, ground transportation, itineraries, and related expenses.
+ Expense Reporting: Oversee the expense reporting process for SLT members, including reviewing and processing expense reports, ensuring accuracy and compliance with company policies, and obtaining necessary approvals.
+ Meeting Coordination: In partnership with the Sr. Analyst, prepare agendas, materials, and presentations for SLT meetings, record meeting minutes, and follow up on action items to ensure timely execution.
+ Special Projects: Support SLT members in executing special projects, initiatives, and events as assigned, demonstrating flexibility and adaptability to changing priorities.
+ Collaborate closely with the Sr. Analyst to create, establish, implement, and oversee processes that enhance efficiency and effectiveness for the SLT.
+ Ensure divisional compliance with key performance indicators and various reports, such as required trainings, accrual reports, contracts, etc.
+ Maintain accuracy of divisional information: org charts, contact lists, Coupa approvers, management agreements, etc.
+ Support strategic projects and project management duties as required (e.g., developing PowerPoint presentations, memos, and communication plans).
+ Drive the guest and employee experiences by assisting in resort during peak periods as necessary.
+ Become a super-user with the company’s administrative systems: Microsoft 365 (Outlook, Word, Excel, PowerPoint, OneDrive, Teams), Concur, Coupa, SharePoint, and SuccessFactors.
+ Establish strong working relationships with key internal and external stakeholders. Partner with other Executive Assistants to sync and drive priorities, goals, and processes.
+ Follow and be an example setter of company policies and procedures.

Job Requirements:
+ Bachelor’s degree preferred.
+ 2+ years’ experience supporting an executive required.
+ Experience supporting multiple executives preferred.
+ Excellent oral and written communication skills required.
+ Proficient in Microsoft Office Suites (Word, PPT, Excel, Teams), SharePoint, Adobe Acrobat DC, DocuSign, and OneNote.
+ Strong critical thinking, problem solving, teamwork, collaboration and leadership skills.
+ Must be a progressive learner, organized, detail oriented, and professional.
+ Ability to multi-task with shifting priorities in a fast-paced environment.
+ Must be flexible, resourceful, and demonstrate excellent time management skills.
+ Experience working for a publicly-held company preferred.
+ Experience in project management a plus
The expected pay range is $22.43/hr - $34.15/hr. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
