The HME Warehouse Coordinator is responsible for ordering and maintaining HME inventory, arranging vehicle repair, service and asset management.
Maintains inventory management, including ordering and re-stocking at appropriate levels following KANBAN principles. Manages expiration dates monthly at the warehouse and physical inventory yearly at all locations. Works with vendors to negotiate pricing. Matches vendor invoices to purchase orders and receipts. Researches equipment/items for proper billing codes, reimbursement rates and billing guidelines prior to purchasing and entering into the HME software system. Assets equipment within same month purchased and tracks asset movement via HME software system. Coordinates and tracks annual preventative maintenance on equipment and vehicles, documenting and scanning information into the HME software system according to manufacturer requirements. Receives incoming freight and prepares shipments for delivery, making sure orders are complete and accurate. Delivers equipment/supplies in-house when needed, making sure equipment is safe and in proper working condition according to MercyOne HME policy and manufacturer's instructions. Instructs and observes patient/family return demonstrations on the correct and safe use of equipment and documents patient/family’s instruction in proper use of equipment, communicating to patient/family pertinent Mercy Home Care services and billing information, with strong emphasis on customer service. Completes all documentation (delivery tickets, equipment checklist) and submits within 24 hours of delivery, documenting in HME software asset information and lot numbers. Assists HME Manager with the Joint Commission Regulations, compliance and auditing processes in the HME Warehouse, retail settings, and vehicles. Reports patient non-compliance with prescribed equipment to manager for appropriate follow-up as well as any environmental concerns in the client's home. Detail oriented with the ability to handle frequent interruptions and change work priorities to meet the needs of the customer. Maintains required department confidentiality and abides by HIPPA regulations. Provides competent patient care to the above indicated patient populations by obtaining and appropriately interpreting data, making appropriate decisions based on demonstrated knowledge of age-specific growth and development, and appropriately adapting procedures and treatments. Takes an active role in enhancing ability to carry out job functions through personal and professional/job-related growth and development, and participates in medical center and/or departmental education programs. Communicates with and performs duties following the philosophy of MercyOne North Iowa Medical Center. Supports and abides by all medical center, departmental, and safety policies and procedures. Proactively identifies safety concerns surrounding the work environment. Performs other responsibilities as requested by manager or department leader.
