Academic Administrative Specialist (Office of Academic and Student Affairs)
POSITION DETAILS
The City University of New York’s Graduate School of Public Health & Health Policy seeks an Academic Program Specialist who will report directly to the Senior Associate Dean for Academic and Student Affairs. This role requires a high degree of professionalism, discretion, organizational skill, and the ability to manage multiple priorities in a face-paced academic environment.
Specific Duties and Responsibilities:
+ Serve as the primary point of contact for the Senior Associate Dean, managing communications, scheduling, and logistical coordination.
+ Maintain and manage the Senior Associate Dean’s calendar, including scheduling meetings, appointments, and travel arrangements.
+ Update and maintain the Senior Associate Dean’s CV, research publication profile, and administrative filings.
+ Coordinate meetings and events, including logistics such as venue booking, technology setup, materials preparation, and catering.
+ Record and distribute meeting minutes for committees or groups chaired by the Senior Associate Dean.
+ Assist in the drafting and sharing of meeting agendas.
+ Maintain confidential files and records.
+ Assist with booking travel and submitting expense reports for reimbursement.
+ Support special projects and initiatives led by the Senior Associate Dean, including research and presentations.
+ Perform other duties as assigned to support the Senior Associate Dean.
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.
Preferred qualifications:
+ Master’s degree in public health.
+ At least two years of experience working in a higher education setting, preferably at a graduate school of public health.
+ At least one year of experience processing invoices, financial reports and other administrative work.
+ Experience working in an administrative or project coordination role reporting directly to university leadership.
+ Demonstrated experience and interest in working in areas of public health, sexual and reproductive health and justice, or other related areas of work.
+ Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Familiarity with Zoom meeting scheduling.
+ Excellent written and verbal communication skills, including telephone and email communications.
+ Strong attention to detail.
+ Exceptional organizational and time management abilities.
CUNY TITLE OVERVIEW
Participates in the daily coordination of academic and administrative activities of a College's specialized academic program under management direction.
- Supports program development, student service delivery, outcome evaluation and instructor/student recruitment, enrollment, and retention.
- Recommends, implements and evaluates strategies to expand program offerings
- Prepares analytical and statistical reports for management
- Develops and maintains relationships with various College offices to improve student and faculty services
- Serves as resource expert regarding program policies and procedures
- Oversees office recordkeeping; manages updates of program web and print materials
- May supervise office operations and/or department budget
- Performs related duties as assigned.

COMPENSATION AND BENEFITS
Salary range: $74,515-84,011
Salaries will conform to the upcoming PSC salary schedule as applicable.
Position beyond June 30, 2026 is contingent upon available funding.
