    Job Description

    General Summary:

    This position is the academic advising part of the Dean's Office team and is expected to be knowledgeable of the academic rules for the college's degree programs, respond to inquiries, create degree plans, and handle all things related to graduation. Essential to be able to think critically, problem solve, and provide recommendations for process improvements and new initiatives.

    Responsibilities:

    + Degree Plans and Advising - Accesses student records and prepares and distributes official degree plans for all majors offered within FAH. (Sybil B. Harrington College of Fine Arts & Humanities).

    + Maintains confidential records for all FAH students, documenting progress toward completion of degree requirements.

    + Handles academic inquiries from faculty and students, substitutions, changes of major, and letters of intent or completion.

    + Coordinates with advisors to create degree checklists used by advisors and on the college website.

    + Maintains and updates coding of the degree audit system.

    + Responsible for working with programmers for feature requests and bug fixes for applicable software systems.

    + Graduation - Receives online applications and verifies degree completion.

    + Organizes commencement ceremonies for all undergraduate applicants in the College.

    + Orders and mails out diplomas.

    + Training-Provides periodic and ongoing training for new and existing faculty advisors.

    Necessary Qualifications:

    + High School Diploma or equivalent combination of education and experience

    + Five (5) years of related experience.

    + Proficient at MS Word and Excel.

    + Understanding of database management.

    + Adept at software administration.

    + Ability to multitask and work cooperatively with students, faculty, staff and stakeholders; function well in a team environment; exhibit professionalism.

    + Excellent written communication, analytical, interpersonal, and organizational skills.

    + Ability to work in a busy environment.

    + Ability to work with sensitive information and maintain confidentiality.

    + Ability to work independently once given a project.

    Preferred Qualifications:

    + Bachelor’s degree

    + Seven (7) years of related experience.

    + Experience using Colleague system and Informer reporting software

    + Knowledge of and experience with student retention initiatives
