Primary Function of Organizational Unit
The mission of the School of Graduate Studies is to provide graduate and professional education to students at North Carolina Central University which will prepare them for pursuing the doctoral degree, employment, and becoming entrepreneurs. The School of Graduate Studies will meet its mission through achievement of its primary goal, which is to offer graduate degree programs that conform to the highest standards required by respective accrediting agencies in NCCU’s pursuit of excellence.
Primary Purpose of Position
The purpose of this position is to serve as the primary point of contact for student service processes relating to enrolled graduate students. The position reports to the Associate Dean of Graduate Studies. The position works in direct collaboration with the graduate coordinators and graduate program advisors for each academic unit, the Registrar’s Office, the Office of University Accreditation, and the Office of the Provost regarding standard submission of information relating to candidacy applications, written and oral examination results, electronic submission of theses, project document review. The position also serves as co-advisor to the Graduate Student Association and assists with the development of meaningful student development activities for graduate students.
Required Knowledge, Skills, and Abilities
Ability to analyze and synthesize relevant policies and procedures and apply them; accordingly, as well as make policy recommendations in the student services area.
Ability to prioritize workload and develop internal procedures, review and assign work of others, and conduct training for groups where necessary; Must be able to collect and maintain graduate enrollment and productivity data and generate reports as needed
Must be able to independently interpret policies/procedures within delegated authority in the student services arena.
Must be able to effectively negotiate the needs of SGS regarding meetings, timelines, and deadlines
Must possess strong oral and written communications skills
Minimum Education/Experience
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Master’s degree from an accredited university in business, public administration or related field with 2-3 years of experience working at the Graduate Program Level is preferred; or a combination of education, training, and experience in a related field. Knowledge of graduate and Professional degree programs and resources Experience implementing workshops, orientations and/or conferences, and recruitment activities.

Key Responsibilities and Related Competencies

Duties
+ Collection and management of Graduation Application for Graduate and Professional Students;
+ Coordinate the 3 Minute Thesis (3MT) event each year.
+ Support the Graduate Undergraduate Research Symposium (GURS)
+ Collaborate with Associate Dean on administration of UMI-ETD ProQuest service for electronic submission of NCCU Master’s Theses, and submission of theses with summary reports to the Registrar’s Office.
+ Collaborate with Associate Dean on all activities related to Graduate Student Retention and Success
**Required Competency** Coordination - Operations
Duties
+ Processing of the graduate students Warnings, Probations, and Dismissals
+ Collection and management of applications and results reports for Comprehensive/Written Examinations with summary reports to Office of the Registrar;
+ Collection and management of results of Application for Candidacy and Plan of the Thesis or Project forms with summary reports to Office of the Registrar;
+ Collection and management of results of the Comprehensive/Written Exam with summary reports to Office of the Registrar;
+ Collection and management of Final Oral Exam results and Student Rating forms with reports to Office of the Registrar.
+ Work with Institutional Research and Analysis office to conduct an annual student satisfaction assessment and develop student focus groups to improve overall student satisfaction.
**Required Competency** Client/Customer Service
Duties
+ Attend workshops, conferences, and seminars specifically addressing student advisement and retention, and recommending alternatives designed to assist students in progressing towards degree completion;
+ Review of academic policies and relevant information in the current Graduate Catalog for academic units;
+ Management of historical files and database for School of Graduate Studies (SGS) enrolled students required for graduation documents;
+ General internal and external customer service activities for all university students, faculty and staff.
