Job Description
Temporary Office Pool
The position supports the Associate Director and Director. This support requires not only responsiveness to the dynamic needs of the Program, but also a high level of initiative, responsibility, and capacity for judgement. The position involves three core areas of responsibility:
(1) operational management (managing day-to-day scheduling, space, materials, travel, and logistics; planning events and meetings; and PeopleSoft administration);
(2) information management (entering and retrieving information; synthesizing information and drafting documents; anticipating needs for information flow; managing electronic and paper files);
(3) external relations (serving as a contact for the Program, serving as a liaison to external partners, advisors, vendors, BC offices, and others).
Serves as the Program chaperone for the Stamps Spirit Fund outings and as one of the chaperones during the GPSP Retreat during the first weekend of the academic year. Helps with the production of various GPSP publications, maintains website, and handles budget transactions for department. Performs additional administrative and support services for the Director and Associate Director as assigned.
Major Duties and Responsibilities
• Assists with the administrative and logistical aspects as well as the delivery of activities of the Program.
• Serves as the Program chaperone for the Stamps Spirit Fund outings and as one of the chaperones during the GPSP Retreat during the first weekend of the academic year.
• Handles budget transactions such as paying invoices, requesting student stipends, wire transfers and financial transactions for Stamps Scholarship students.
• Handles website updates.
• Oversees the Ex Libris Committee and handles the production of the GPSP Newsletter with the Associate Director’s guidance.
• Reads The Chronicle and when Scholars appear “in the news,” adds links to the relevant articles to the GPSP website.
• Handles production of the annual GPSP Directory of Scholars and Alumni with the Associate Director’s guidance.
• Responsible for the Travel registry for group trips through the global portal.
• Responsible for keeping the supply closet and refrigerator stocked as appropriate.
• Assists with operations of GPSP Selection Process.
• Helps maintain the databases for current GPSP Alumni and “Friends” of the GPSP and keeps Scholars’ records up-to-date.
• Performs additional administrative and support services for the Director and Associate Director as assigned.

+ Technology: Proficiency in Peoplesoft, Microsoft Office,
+ InDesign, AEM, and Photoshop.
+ Experience in EagleApps, Slate, and Apex strongly preferred. Ability to learn and utilize BC student record systems on a regular basis. Ability to master other technology as needed.
