    Executive Assistant, Administrative Services Division Director

     

    This position serves as the executive assistant to the Administrative Services Division (ASD) Director and is a member of the Division Management Team. The position reports directly to and serves at the will of the ASD Division Director. This position is employed at-will.

    Location : Ames Central Complex

     

    Shift Requirements : 8:00 am – 4:30 pm in office Monday-Friday

    Day-to-day responsibilities will include:

    + Oversee and coordinate the drafting of administrative rules, policies, and procedures for the division. This includes identifying policies needing updates, working with divisional staff, drafting changes, getting approvals, and ensuring process is complete.

    + Serve as the Travel System Administrator for the Department, serving as the system administrator for the DOT’s internal electronic out of state travel system. This position will coordinate Federally reimbursable travel and provide needed training to departmental travel coordinators.

    + Identify and implement improvements to administrative workflows and procedures. This role will be responsible for coordinating and implementing operational changes, updating organizational charts, and documenting changes.

    + This position will be responsible for providing administrative support to the Division Director and key staff. This includes calendar and schedule management as well as meeting and event coordination. Additionally, the position will be serve as a liaison with internal/external stakeholders and will gather input, information, and compose detailed documentation and correspondence.

    + Oversee the legislative process for the division. This will include coordination of divisional comments on legislation, coordination and submittal of legislative required reports, and maintaining tracking document for required reports.

    + Coordinate Freedom of Information Act requests for the division. This includes review of the information requested, coordination with the bureaus to retrieve the information and providing response for the requested information.

    Minimum Qualification Requirements

    Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

    1) Graduation from an accredited four-year college or university with a degree in any field, and experience equal to three years of full-time professional-level work in program administration, program development, program operations, or management.

     

    2) A total of seven years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

    3) All of the following (a, b, and c):

    a. One year of full-time professional-level work experience in program administration, program development, program operations, or management; and

    b. A total of four years of education and full-time experience (as described in part a), where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience; and

    c. A total of two years of graduate-level education and full-time experience (as described in part a), where twenty-four semester hours of accredited graduate college or university course work in a public-service-related area (e.g., public or business administration, social work, public health, law, education, engineering) equals one year of full-time experience. Graduation from the Iowa Certified Public Manager Program is also equivalent to one year of full-time experience or education.

     

    4) Current, continuous experience in the state executive branch that includes thirty months of fulltime work as a Program Planner (any level), Management Analyst (any level), or Administrative Assistant (any level).
