This position Independently manages varied and complex assignments and projects in support of the daily operation and strategic planning roles of the department Director, Managers, and administrative and system staff. Responsibilities include the facilitation of explicit processes and programs, as well as non-routine assignments requiring initiative and strong collaborative skills. In this role, you will...
Administrative Support
+ Serve as the department liaison for preparation and processing of eCars, eBars, and related BCC Agenda items to ensure all assignments and documentation are completed accurately and within deadlines.
+ Coordinate departmental HR processes: tracks vacancies, prepares personnel documentation, and monitors the completion of requests for hire, job postings, interview packets, selection, reference checks, job offers, and placements.
+ Facilitates employee recognition, service awards, and special award nominations. Expedites employee performance appraisal documentation and submittal to HR.
+ Processes “Outside Employment” forms, leave requests, and payout forms.
Liaison to Citizen Advisory Committees
+ Serve as liaison to the Library Advisory Board (LAB), Historic Preservation Board (HPB), and Historical Commission (HC): prepares eGenda packets for appointments and Annual Reports to the Board of County Commissioners; develop meeting agendas and schedules meeting advertisements; record, compose and distribute meeting notes; maintains records of member attendance and term appointment schedules.
+ Assist members in the preparation of the Annual Report to the BCC. Serve as the primary contact for the LAB and HC Community Youth Development STAR student members.
Records Retention
+ Serve as the department's liaison for all tasks related to records retention, including an annual review of records for disposal, storage, etc.
+ Maintain departmental documentation, including incident reports, memoranda, and correspondence.
Budgetary Support
+ Manage the documentation of donations received and deposit contributions per County policy.
+ Prepare correspondence to donors, maintain records of contributions, and administer the Make a Difference gift program.
+ Oversee the budget for printing department publications; coordinate the receipt and distribution of publications from local, regional, state, and federal organizations and agencies.
+ Monitor the budget for employee training and development: initiate registration, complete travel arrangements, and related reimbursement.
+ Serve as logistics lead to plan Staff Development Day event.
About the Schedule
Work Hours:
+ Full-time, 40 hours per week.
+ Monday - Friday, 8:00 a.m. - 5:00 p.m.
About You
Minimum Qualifications:
+ Associate’s Degree from an accredited college or university.
+ 4-6 years of administrative support experience with some executive exposure.
+ Year-for-year basis substitute for the college degree.
Preferred Qualifications:
+ Advanced Professional Certification is highly desirable.
Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment for five years.
About Everything Else
Starting Pay Range: $23.56/hr
