Job Function:
This position provides comprehensive administrative support to the Mathematics Department, serving faculty, adjuncts, staff, students, and the Mathematics Learning Center. The role operates under the general supervision of the Department Chair with significant independence in managing inquiries, facilitating departmental operations, and ensuring efficient communication between students, faculty, and college offices.
Key Responsibilities:
Department & Student Support
+ Acts as the primary contact, responding to inquiries from students, faculty, parents, and college departments.
+ Assesses student needs, provides guidance on advisement and registration, and resolves concerns related to academic policies.
+ Processes course registrations, placement level and prerequisite overrides, and academic overload requests.
+ Researches student records, reviews placement levels, and verifies mathematics prerequisites to ensure academic compliance.
Chair & Faculty Assistance
+ Manages the Department Chair's calendar, scheduling meetings and appointments.
+ Transmits departmental policies to faculty.
+ Assists new full-time and adjunct faculty with onboarding, system access, HR procedures, and departmental protocols.
Meeting & Event Coordination
+ Prepares department meeting agendas, gathers faculty input, and arranges meeting rooms.
+ Organizes logistics for annual department functions, professional workshops, and recognition ceremonies, including securing materials and refreshments.
Administrative & Policy Oversight
+ Provides accurate information on college and departmental policies to faculty, staff, and students.
+ Collaborates with other academic offices to ensure compliance with academic procedures and coordinates student support.
Budget & Purchasing
+ Assists in budget planning, monitors departmental expenditures, and prepares budget justifications.
+ Processes purchase orders, oversees deliveries and installations, and manages inventory for office supplies and educational materials.
Course & Exam Administration
+ Maintains records retention for final exams, grades, and attendance for adjunct-taught courses.
Human Resources & Payroll
+ Supports the hiring processes for faculty and adjuncts, including job postings and interview scheduling.
+ Manages HR and payroll for Learning Center tutors and student aides, while tracking time reporting for departmental employees.
+ Other duties as assigned by the department chair.

Job Requirements:
Required Qualifications:
+ Graduation with an Associate's degree; OR,
+ (B) Successful completion of at least thirty (30) college semester credit hours, plus one (1) year paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,
+ (C) Two (2) years paid full-time or its part-time equivalent experience as defined in (B) above; OR,
+ (D) An equivalent combination of education and experience as defined by the limits of (A), (B), and (C) above. *Experience as a Teller, Cashier, or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.
Preferred Qualifications:
+ Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Salary: $39,797.72

The starting salary for all new hires is typically at the entry-level figure, as determined by the step placement of the Collective Bargaining Agreement. Progression through the range occurs over time based on established criteria such as length of service and performance. This range is provided to give applicants an understanding of the potential earnings over the course of a career in this role.
