    Reporting to the Chief Medical Officer and Vice President of Medical Affairs (CMO/VPMA) with administrative reporting to the Executive Assistant to the CMO, the CMO Project Manager (Project Manager) plays a critical role in supporting, managing, and driving high visibility projects and initiatives across the UW Medicine enterprise.

    POSITION PURPOSE

    The Project Manager is responsible for planning, executing, and delivering complex, cross-functional healthcare and clinical initiatives that align with UW Medicine priorities. This position operates at the intersection of clinical strategy, healthcare operations, and executive administration and plays a key role in advancing clinical quality, physician and practitioner workforce and care model initiatives, and strategic planning initiatives related to physician and practitioners across the UW enterprise.

     

    The Project Manager manages complex initiatives through the full project life cycle. They lead assessments of programs and services, organize project related meetings, manage project timelines and budgets, effectively prioritize projects and ensure timely completion. The Project Manager applies independent judgement when gathering, organizing, analyzing and managing data, in addition to designing project and governance structure. This position blends technical and process redesign skills, leadership, interpersonal and communication skills to meet business needs. They understand and adhere to a high level of confidentiality and professionalism and are accountable to stakeholders.

     

    The work often involves a variety of strategic, operational, and other business issues affecting practitioners in the clinical enterprise and the UW School of Medicine in support of exceptional patient care, practitioner wellbeing, educational excellence, resource stewardship and health system alignment.

    DUTIES AND RESPONSIBILITIES

    Project Management (85%)

    + Develop and maintain a service-oriented relationship with project sponsor(s) and collaborators including but not limited to the UW Medicine CMO, UW Medicine Associate Chief Medical Officer(s) and medical directors, UW Medicine Chief Quality Officer, the UW Faculty Lead for Learning, Vice Dean for Research and Graduate Education, Vice Dean of Administration and Finance, Sr. Director of Strategic Initiatives and Project Management for Administration and Finance, organizational leadership including Clinical Department Chairs, Vice Chairs and representatives, and principal stakeholders and project teams

    + Lead and oversee end-to-end project management of clinical and organizational initiatives driven by the CMO office, including quality improvement and strategic planning projects specifically related to physician and practitioner workforce

    + Translate the CMO’s vision into actionable project plans with clearly defined stakeholders, goals, milestones, metrics, and deliverables

    + Ensure alignment of project objectives with institutional priorities and leadership directives

    + Facilitate executive-level meetings, develop presentations and briefing materials for internal and external audiences

    + Manage stakeholder engagement, resolve cross-entity challenges, and foster collaboration to ensure the success of initiatives

    + Act as a subject matter expert and point of contact for project sponsors, collaborators, and stakeholders

    + Develop detailed project schedules, risk mitigation plans, resource allocation, and budget estimates

    + Track and report on KPI’s, project health metrics, and compliance with clinical and regulatory standards

    + Regularly participate in and conduct audits to ensure compliance with clinical and regulatory standards

    + Oversee documentation and reporting systems to ensure transparency and accountability in project execution and life cycle

    + Lead change management and organizational transformation initiatives that affect stakeholders

    + Implement frameworks, strategies, and training opportunities that ensure successful adoption of new processes and systems

    + Manage and implement improvements to budget processes and operations, including multiple record keeping and reporting systems for all sources of funding

    + Develop and use standard tools, templates, policies, and procedures to manage projects and budgets and complete deliverables

    + Ensure thorough documentation needed so project is archived appropriately

    + Provide input, as requested, on project members' performances for inclusion in personnel evaluations

    + Maintain a project inventory and timelineOffice Support and Process Improvement (15%)

    + Support development of CMO Office maturity

    + Lead process improvement engagements internally within the CMO Office

    + Work with Supervisor to set professional goals for career development

    + Act as back-up for other team members and functions as needed

    + Actively foster inclusion in all aspects of the Project Manager role and pursue opportunities to make positive changes across UW Medicine in support of UW Medicine’s commitment to workforce wellbeing

    + Perform other duties as assigned **MINIMUM REQUIREMENTS**

    + Bachelor’s degree in project management, business or related field

    + At least 5 years of demonstrated success/results in a Project Management setting managing high visibility projects and demonstrated change management experience

    + Work experience in a role requiring interaction with senior leadership. (e.g., Director level and above)

    + Demonstrated ability to partner with leaders, employees, and teams to work toward deploying a different future state

    + Strong executive presence, including communication and presentation skills with a high degree of comfort with large and small audiences

    + Proven experience motivating high-performing individuals and creating inclusive and collaborative team environments

    + Proficiency with Microsoft Project, Excel, Visio, PowerPoint, and SharePoint

    + Proven ability to collaborate across multiple areas to achieve a common business objective

    + Commitment to valuing diversity and contributing to an inclusive working and learning environment

    + Demonstrated ability to maintain positive, ethical, and professional working relationships with individuals from a wide variety of backgrounds **DESIRED QUALIFICATIONS**
