Undergraduate Academic Affairs has an outstanding opportunity for an Associate Director for the Office of Undergraduate Research to join their team.
Undergraduate Academic Affairs (UAA) shapes, advances and stewards a world-class undergraduate academic experience for students at the University of Washington. Staff, faculty and students in UAA deepen and enrich the learning experience for all undergraduates, recognizing and supporting the unique learning path of each individual student and the commitment of each academic program to excellence in learning and teaching.
Within UAA, the Office of Undergraduate Research plays a critical role in helping undergraduates enrich their academic experience through engagement in exciting, hands-on research with UW faculty and other research mentors. The Office of Undergraduate Research promotes student engagement in research across all disciplines and provides centralized support for undergraduate research at the University of Washington. The Office of Undergraduate Research staff facilitate several undergraduate research programs, host the annual Undergraduate Research Symposium, and help students identify faculty mentors and research goals during advising and informational sessions. We also facilitate workshops for faculty looking to elevate their mentorship practices and create spaces for community building.
The Associate Director for the Office of Undergraduate Research will play a critical role in facilitating our advanced STEM undergraduate research scholarship programs and supporting early career research programming by overseeing our advising and outreach efforts. They will also play a key role in supporting the early career research initiative, the Undergraduate Research Collective, through course instruction and supporting other programmatic needs. A large portion of this position involves planning and facilitating the annual Undergraduate Research Symposium. Planning for the Symposium continues year-round, and the Associate Director manages the event workflow, delegates tasks across the team, and is primarily responsible for ensuring the team is on track for a successful event. Finally, the Associate Director works closely with the Director to build and sustain a welcoming, inclusive, and collaborative team environment where Office of Undergraduate Research staff feel fully supported and encouraged to pursue their own professional development.
**DUTIES & RESPONSIBILITIES** Program Management and Outreach (50%)
+ Oversees advanced STEM undergraduate research scholarship programs, the Washington Research Foundation Fellowships and the Levinson Emerging Scholars Award.o Supports recruitment, application review, cohort selection, and student programming.o Leads advising with program students, communications with faculty as needed, and Levinson Award student supply budget tracking.
+ Supports early career programming by overseeing and continually improving our advising process, our regularly scheduled newsletter, information sessions/class visits, and supporting programmatic needs of the early career research program, the Undergraduate Research Collective, as needed.
+ Serves as instructor of record for academic success courses such as the “Undergraduate Research Collective Seminar 1” and “Undergraduate Research Collective 2” up to two times per academic year. These courses promote academic success by facilitating students’ engagement in their own learning. Specifically, the purpose of this course(s) is to ensure that students are better able to describe at least three pathways into research, set personal and professional goals related to undergraduate research, and describe how a typical research lab or team is structured and operates. Teaching this course is a part of this position’s regular duties, does not authorize excess compensation, does not require nor confer a faculty title, and is subject to UWHR policies (e.g., student complaint resolution).
+ Has oversight of the undergraduate research student opportunities database and works with faculty and departments to expand the number of high-quality opportunities available.
+ Supports and co-leads the undergraduate research mentor workshop series.
+ Develops communications with faculty, students, staff, and outside organizations to disseminate program information, raise awareness of Office of Undergraduate resources, and to enhance opportunities for undergraduate researchers.
+ Collaborates with UW offices, programs, and local community college partners to support first-generation, low-income, and underrepresented undergraduate researchers.
+ Provides critical decision-making support for all facets of the Office of Undergraduate Research program portfolio, including recommendations of program changes and enhancements, and contributes to the design of new undergraduate research initiatives.Event Planning (25%)
+ Takes a lead role in planning and executing the annual Undergraduate Research Symposium, featuring ~1,500 student presenters from the UW tri-campus community and other local institutions. Symposium planning continues year-round, and the associate director manages the event workflow and delegates tasks across the team.Supervisory and Team Development (15%)
+ Recruits, onboards, and manages up to two full-time professional staff team members and a part-time Graduate Student Assistant.
+ Leads Office of Undergraduate Research team development efforts, safety planning, general onboarding, and strategies for team organization.Administrative Responsibilities (10%)
+ Works with the Office of Undergraduate Research director to forecast and manage budgets.
+ Engages in strategic planning for sustainability and scalability of Office of Undergraduate Research programming and supports advancement efforts, including grant writing and fundraising initiatives, as needed.
+ Leads assessment design and implementation for ongoing program evaluation and improvement.
+ Uses UW ProCard to support procurement for day-to-day operations, programs, and events.
+ Reconciles purchases weekly, maintain up-to-date records of spending and required documentation in budget files.
+ Contributes to the functioning of the Center for Experiential Learning and Diversity (EXPD) and Undergraduate Academic Affairs (UAA) through active collaboration with colleagues and participation in events, committees, etc., as needed.
+ Maintains a pulse on undergraduate research-related work at UW, and nationally, and participates in UW and/or community-based initiatives, including special projects as needed. **MINIMUM REQUIREMENTS**
+ Master’s degree in any academic field
+ A minimum of three years of experience in program management or leadership in higher education _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._ **ADDITIONAL REQUIREMENTS**
+ Experience in student advising or teaching in a higher education environment
+ Experience in program development and/or management
+ Experience in event planning. **DESIRED QUALIFICATIONS**
+ Experience supervising professional and graduate student staff
+ Experience in undergraduate research program development and management
+ Research experience in an academic field and experience presenting at a professional conference.
+ Strong problem-solving, management, and organizational skills
+ Ability to take initiative and to work independently with minimal supervision
+ Enjoys working with students and possesses strong interpersonal skills, including an ability to communicate effectively across diverse cultural backgrounds and life experiences
+ Employs a team-oriented, collaborative approach and a has a desire to interact with colleagues across units and organizations
+ Is well-organized, efficient, works well under deadlines, and is attentive to details
+ Has excellent oral and written communication skills, including presentation and public speaking experience
+ Computer proficiency with MS Word, Excel, and PowerPoint, social media, data management, and familiarity with website content management systems (e.g., WordPress)
