Job Summary and Qualifications

If so, we're looking for someone like you to support one of our VPs and their leadership team at our Austin-based home office.

Top Priorities You’ll Own:
+ **Manage complex executive calendars** with efficiency—coordinating meetings, calls, and priorities across departments.
+ **Coordinate office logistics** and ensure day-to-day operations run smoothly and professionally.
+ **Book and manage travel and hotel accommodations** , often across multiple schedules and locations.
+ **Process mileage and expense reimbursements** accurately and in a timely manner.
Additional Key Responsibilities:
+ Act as the first point of contact for visitors and internal stakeholders.
+ Prepare reports, maintain departmental metrics, and support presentations and communications.
+ Maintain organized, confidential filing systems (digital and physical).
+ Order and track office supplies, anticipating team needs.
+ Assist with meeting planning, agendas, note-taking, and follow-ups.
+ Support the team in creating and refining office procedures.
What You Bring:
+ Associate’s or Bachelor’s degree in Business Administration (preferred).
+ 3+ years of experience supporting executives or senior leadership (healthcare experience is a plus).
+ Proven experience managing calendars, coordinating travel, and handling reimbursements.
+ High proficiency in **Microsoft Outlook, Excel, Word, and PowerPoint** .
+ Excellent communication, problem-solving, and interpersonal skills.
+ A high level of professionalism, confidentiality, and attention to detail.
