    Description

    We are looking for a proactive and detail-oriented Administrative Assistant to join our team in St Augustine, Florida. This contract to permanent position is integral to supporting day-to-day office operations, ensuring the organization runs smoothly and efficiently. The role involves managing client communications, handling administrative tasks, and coordinating critical schedules and deadlines. This is a remote role, but the candidate must be based in the North Florida area.

    Responsibilities:

    • Organize and maintain client files, tax records, and essential documentation to ensure accurate record-keeping.

    • Prepare and submit property tax appeal documents to the appropriate agencies in compliance with deadlines.

    • Monitor and track important deadlines, appeal statuses, and schedules using internal systems and external databases.

    • Draft detailed correspondence, reports, and forms to support consultants and office staff.

    • Coordinate and schedule meetings, hearings, and appointments with clients and government officials.

    • Handle confidential client information with the utmost discretion and professionalism.

    • Provide administrative support during peak periods, including data entry, document scanning, and file organization.

    • Assist with financial tasks such as billing, invoicing, and accounts receivable management.

    • Manage inbound and outbound communications, including phone calls and email correspondence.

    • Perform additional administrative duties as assigned to support the team.

     

    Requirements • High school diploma or equivalent is required; an Associate’s or Bachelor’s degree is preferred.

     

    • Minimum of 2 years of administrative experience, ideally in a legal, real estate, or tax-related environment.

    • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

    • Strong organizational and time-management skills with the ability to handle multiple priorities effectively.

    • Excellent written and verbal communication skills, with a detail-oriented demeanor.

    • Familiarity with county property appraiser or tax collector systems is a plus.

    • Experience with financial tasks such as accounts payable, accounts receivable, and QuickBooks is advantageous.
