Duties Description The New York Education Department’s (NYSED) Office of Cultural Education (OCE) seeking to fill a Museum Support Services Specialist 2 (MSSS2) position, in the Office of Cultural Education at the New York State Museum (NYSM). Under the supervision of the State Librarian and Assistant Commissioner, the MSSS2 duties will include, but not be limited to, the following:• Sole point person for a multitude of the NYS Museum's/NYSED’s Office of Cultural Education (OCE) programs, events, meetings, and celebrations. Coordination of exhibition openings, press conferences, training sessions, special events with community partners, public museum programs, and private functions; • Respond promptly and professionally to customer inquiries from initial contact through completion of events to provide a full-service continuity of service including planning, implementing, day of contact problem solving to completion of events with proactive attitude, strong problem-solving skills and customer-focused mindset. Flexibility to assist with on-site event operations, which may require evening and weekend availability well into future scheduling while initiating and maintaining relationships across a diverse set of stakeholders. Work with customers to distill event desires into an event the facility can deliver. Ensure vision of event comes to fruition by attending events. Sometimes events happening simultaneously;• Coordinate, schedule, and implement the use of various venues within the OCE for above events. From exhibition halls to small meeting rooms. Shepard the details of availability, security, technology, apparatus, and housekeeping that a large variety of uses require;• Support the NYS Museum's Coordinator of Public Programs. Organize and schedule public programs with staff of the NYSM, collaborative partners within the Office of Cultural Education, and outside programmers from Community Organizations to the NYSED Board of Regents and the Executive Chamber;• Principle contact for State Education Department's Board of Regents, Executive Office, and other state agencies to reserve, plan, and facilitate meetings, trainings, conferences, receptions, retreats, and dinners at the CEC;• Serve as the liaison between community members, public relations, other state organizations and fire safety and security staff in the organization of programming and annual events in the CEC; and • Interface with Museum Education, Public Programs, Visitor Service, and Volunteer service staff to represent the museum and cover the needs of scheduled programs. Coordinating with these teams as well as security, cleaning, catering, and other vendors involved in working various events.
Minimum Qualifications MINIMUM QUALIFICATIONS: NY HELPS This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.NON-COMPETITIVE MINIMUM QUALIFICATIONS: To be considered for appointment through NY HELPS candidates must meet the open-competitive minimum qualifications for this position. Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent, competitive appointment or a permanent, non-competitive appointment. For 55b/c appointment, candidates must possess the minimum qualifications, a current 55b/c eligibility letter and is subject to verification of applicant eligibility. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. Verification of degree will be required at the time of interview for all candidates. The work schedule for this position is 9:00 AM to 5:00 PM, Monday-Friday with additional weekends and holidays as assigned.This position leads to a maximum salary of $85,138 based on annual performance advances. For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position.
