    Serves as Staff Assistant to Program Administrator, performing a variety of complex secretarial and administrative support actions with minimum instruction. Also provides administrative support to investigators, human service counselors and supervisors.

     

    Reviews, analyzes, prepares drafts of memoranda and correspondence for delegated administrative decisions and policy.

     

    Coordinates and monitors appropriate maintenance and repair on office issues and office equipment under the authority of the Regional Program Administrator. Serves as liaison for telephone repair, property managers, cleaning services, general services, and management systems.

     

    Makes travel arrangements for staff and maintains accurate travel files. Maintains working personnel and performance files on employees assigned to the Regional Program Administrator. Attends conferences and takes notes for Regional Program Administrator.

     

    Originates, composes, and types routine correspondence. Types all correspondence, reports, and staff recognition certificates for service area. Exercises independent judgment and decision-making ability in determining work priorities and makes suggestions to Regional Program Administrator as to work assignments and workload distribution.

     

    Maintains office supplies through appropriate requisition procedures from warehouse, central supply, and furniture vendors. Processes timely and appropriately billing and receiving reports. Coordinates requests with fiscal, purchasing, and management systems. Functions as property manager maintaining updated records on property receipts, movement, and loss.

     

    Interprets policy matters regarding personnel, fiscal, and purchasing to resolve any problems or to answer staff questions. Operates and/or utilizes office machines and equipment.

     

    Receives visitors and telephone calls and routes to appropriate person or location. Answers inquiries on policy and procedures when possible and refers client complaints to appropriate personnel for investigation and response.

     

    Coordinates arrangements for any conferences to be held in conference room (i.e., date, time, space). Transcribes staff meeting notes from dictating equipment or rough drafts. Assists in other duties as required.

     

    Participates in appropriate agency and community committees and work groups to improve service delivery.

     

    Performs other related duties as required by supervisor.
