The Minnesota Sex Offender Program (MSOP) is a residential, sex offense specific treatment program in a modified therapeutic community and secure setting that provides services to over 700 individuals who have been civilly committed for sexual offending. MSOP is a national leader in the industry and is committed to providing services on the leading edge of the comprehensive evaluation, treatment, and management of clients. The Minnesota Sex Offender Program (MSOP) is seeking an individual to join our team for an exciting and rewarding opportunity as an Office and Administrative Specialist, Prin/Administrative Assistant for Moose Lake, MN location.
The Administrative Assistant performs comprehensive and confidential administrative support to the Facility Director, Facility Clinical Director, and Operations Executive Team, ensuring the office operates in an efficient, effective, and professional manner. Much of the work conducted in this position is confidential in nature, and the incumbent of this position must handle and communicate this sensitive information appropriately, as well as in accordance with policy, guidelines and the law.
Responsibilities Include:
+ Serves as the facilities first point of contact and acts as a community liaison
+ Organizes, implements, coordinates, and manages the necessary functions of the Facility Directors' office.
+ Coordinate the facility's grievances so that clients have a process to file formal complaints.
+ Complete special projects as directed by the Facility Director so data can be researched, collected, formatted and distributed.
+ Act as the Client Placement Committee Coordinator.
Minimum Qualifications
+ Customer service skills sufficient to provide information to clients, staff and outside stakeholders in a prompt concise, courteous, and professional manner
+ Written and oral communication skills sufficient to provide clear, concise, courteous, prompt, and effective service in person and via email, phone, or video conference.
+ Data entry performance skills sufficient to create and maintain database records/documents and retrieve/distribute information in databases including SharePoint.
+ Database skills sufficient to create, retrieve, and analyze information in a variety of databases.
+ English language, spelling, and grammar skills sufficient to compose, analyze, edit and independently summarize data, reports, and process responses with minimal review.
+ Typing/Keyboarding skills sufficient to compose meeting agendas, handouts, meeting notes, reports, letters, and data summaries
+ Word processing skills sufficient compose meeting agendas, handouts, meeting notes, reports, letters, and data summaries
Preferred Qualifications
+ Experience working in a secured facility.
+ Experience assisting with tracking and managing budget records.
+ Knowledge of Minnesota rules, regulations, statutes, policies and procedures and the legal requirements of data privacy as they relate to staff and clients so that appropriate action, responses and solutions to problems can be developed.
+ Ability to make critical decisions concerning public/media contact while following department policies and standards.
+ Knowledge of MSOP’s divisions and organizational structure to facilitate appropriate actions as well as to plan and coordinate department-wide activities or conduct special projects.
