    Description:

    The **Outpatient Surgery Center** located at Trinity Health Ann Arbor’s Level 1 Trauma Center, with 9 operating rooms that average 40 cases/day. Our mission is to provide the highest-quality care to every patient who requires a surgical intervention; both during preparation for surgery and recovery from anesthesia.

    Summary

    Performs a combination of routine and complex clerical duties requiring an in-depth knowledge of the department’s operations and procedures. Duties include composing and word processing documents, preparing complex forms, maintaining departmental information systems and records, monitoring budgets and coordinating meetings. May coordinate, train and check the work of other clerical staff. Answers telephones, opens mail, and greets and directs visitors, using discretion to screen and prioritize on behalf of supported personnel.

    PRIMARY DUTIES AND RESPONSIBILITIES

    Performs typing and/or word processing of correspondence, documents and reports, usually from rough draft or machine dictation. Composes and types/word processes non-routine intradepartmental memos, meeting minutes and recurring reports, according to manager’s directions. Completes and prepares a variety of forms, tables, charts and records that are often complex in nature. Proofreads prepared materials for accuracy.

    Qualifications

    + High school diploma or equivalent combination of education and experience. Additional formal clerical and computer training desirable

    + Familiarity with clerical support procedures, usually gained through two or more years of clerical office experience. In-depth knowledge of departmental operations and procedures.

    + Proficient with at least one word processing package, one spreadsheet software package and one database management program. Ability to operate and troubleshoot minor information systems problems.

    + Accurate typing, data entry and transcription skills. Accurate spelling and grammar, and proofreading skills. Strong attention to detail. Knowledge of medical terminology for transcription.

    + Written communication skills to compose letters, memos, minutes and reports.

    + Telephone skills and ability to operate office equipment such as personal computers, copiers, fax machines and printers.

    + Able to exercise independent judgment to set work priorities, screen and prioritize calls and visitors appropriately, and to handle administrative details on behalf of manager.

    + Interpersonal skills to effectively communicate with a wide range of staff, physicians, medical professionals, patients, visitors and other organizational personnel, in order to relay and obtain information. Tact and discretion for dealing with sensitive and confidential information.

    + Analytical skills to gather and interpret data, maintain complex records, and compile/calculate billing, payroll and/or statistical figures.

    + Organizational skills to prioritize multiple tasks, meet deadlines, and adapt quickly to changes and interruptions.

    WORKING CONDITIONS

    Normal office environment, or combined office and patient care environments.

     

    Occasional lifting of up to 25 pounds, bending, standing and walking.
