Job Description
The Associate Athletics Director of Operations and Facilities is a senior member of the athletics leadership team, responsible for overseeing the day-to-day operations, event management, and facility maintenance of the university’s athletic venues. This position ensures all athletic facilities are safe, functional, and prepared to support competition, practice, and special events in accordance with NAIA/NCAA Division II standards. The role requires strong organizational skills, leadership, and a deep commitment to providing a high-quality experience for student-athletes, visiting teams, and fans.
ESSENTIAL DUTIES & RESPONSIBILITIES:
+ Provide strategic oversight of all athletic facilities, including scheduling, maintenance planning, and capital improvements.
+ Serve as the primary liaison with campus facilities, grounds, and external vendors for maintenance and repairs.
+ Ensure all athletic venues meet NCAA safety and compliance standards.
+ Direct all aspects of game and event operations for home contests, including staffing, setup, breakdown, and coordination with visiting teams and officials.
+ Oversee scheduling of practices, competitions, camps, and non-athletics events in athletic facilities.
+ Develop and implement operational policies and procedures for athletic events and facility usage.
+ Coordinate with campus safety, parking, concessions, and custodial services for event support.
+ Serve as Chief Budget Officer for the Athletic Department
+ Manage the operations and facilities budget, including forecasting, purchasing, and inventory control.
+ Oversee athletic equipment operations, including procurement, maintenance, and distribution.
+ Develop, manage, and grow a comprehensive intramural sports and recreation program to serve a broad student population.
+ Supervise part-time staff, student workers, and graduate assistants supporting intramural and recreation activities.
+ Evaluate participation data and student feedback to evolve program offerings and promote inclusive engagement.
+ Oversee recreational equipment inventory, purchasing, and maintenance.
+ Ensure proper event documentation, emergency action planning, and risk management protocols are in place and followed.
+ Collaborate with compliance and athletic training staff to support game day and practice safety procedures.
+ Process and monitor athletic department purchase orders, ensuring compliance with university purchasing policies.
+ Oversee and coordinate team travel arrangements including transportation, lodging, and meals.
+ Maintain travel records and reconcile expenses post-travel
+ Assist the athletic training staff with processing and reconciling student-athlete medical bills and insurance documentation.
+ Serve as a point of contact for coordinating with third-party billing entities when needed
+ Coordinate with university offices to ensure contract compliance and risk management.
+ Maintain a centralized contract tracking system and calendar for renewals and deadlines.

KNOWLEDGE, SKILLS & ABILITIES:
Minimum Qualifications
+ Bachelor's degree or equivalent combination of education and experience
+ Five years of related experience
Preferred Qualifications
+ Bachelor’s degree in Sports Management, Business, Facility Management, or related field
+ Master’s degree in a related field
+ Minimum seven (7) years’ experience in athletic operations, facility management, or event coordination at the collegiate level
+ Experience managing capital projects or athletic construction/renovation
+ Budgeting, accounting, financial management and/or fiscal reporting experience
+ Familiarity with facility scheduling software (e.g., EMS, 25Live)
+ OSHA or CPR/First Aid certifications
Other Requirements
+ Demonstrated knowledge of NAIA/NCAA rules and event management best practices
+ Strong leadership and organizational skills
+ Excellent written and verbal communication abilities, including presentation skills
+ Knowledge of word processing, spreadsheets, and database applications.
+ Ability to work evenings, weekends, and holidays as required by athletic schedules
+ Ability to maintain confidentiality
