    The Schwarzman Animal Medical Center (AMC), located in the heart of New York City, seeks an Anatomic Pathology/Bite Case Coordinator. This is a rare opportunity to join the world’s largest veterinary teaching hospital and take your career to the next level.

     

    The Anatomic Pathology/Bite Case Coordinator works directly with the Anatomic Pathology Department, the NYC Department of Health, Client Services, doctors and support staff from multiple services within the hospital and in some cases, their RDVM offices and crematory companies to ensure coordinated patient care and communication for living bite cases and deceased patients requiring additional work-up or diagnostics (i.e. NYC DOH bite reports, rabies test submission to NYC DOH Animal Bite Unit or Wardsworth State Diagnostic Lab, and/or autopsy submission). Coordinate with the Necropsy and Histology Technicians for filing materials related to autopsy cases. This position requires an individual who is detailed oriented, organized and a clear communicator with an interest in Veterinary Medicine, pathology and infectious diseases. Some clerical work pertaining to research within the anatomic pathology department may also be included.

     

    Specific Duties/Responsibilities

     

    + Review the Cooling unit logs to identify potential rabies and autopsy submission cases and reach out to the services for submission paperwork when needed. Coordinate with the necropsy technician and anatomic pathologist on duty to confirm that patients with submitted paperwork are located in the hospital cooling units.

    + Review submitted paperwork for completeness and ensure that living and deceased bite cases are properly and efficiently reported to the NYC DOH Animal Bite Unit and update the electronic medical records accordingly (e.g. update with DOH bite number and EMR bite alert).

    + Communicate with the Department of Health (DOH) via email or phone to ensure smooth sample submission and pick-up.

    + Review paperwork for cases submitted to the Anatomic Pathology Department for postmortem examination.

    + Communicate with AMC clinicians and rDVMs when submitted paperwork is incomplete and to request required information (e.g. Vaccination status)

    + Submit completed paperwork to the anatomic pathologist

    + Communicate with the crematory company (Final Gift) and/or Patient Services to update when patients on hold can be released and/or trouble shoot any problems.

    + Enter preliminary Gross Autopsy and Final Autopsy reports into Instinct and autopsy database (Filemaker Pro).

    + File materials related to autopsy cases.

    + Possible clerical work related to research (e.g. collating paperwork and consent forms) as needed.

    + Other clerical duties necessary within the position.

    Qualifications:

    + Equivalent work experience accepted (Bachelor’s Degree a plus)

    + Minimum of 2 years veterinary or human medical clerical experience required.

    + Minimum of 2 years customer service experience required.

    + Excellent written and verbal communication skills.

    + Strong organizational skills and ability to manage multiple priorities simultaneously.

    + Ability to work collaboratively with all levels of staff, clients, and referring veterinary practices.

    + Proficiency with Microsoft Office Suite, Excel, medical record systems (EMR experience preferred), and scheduling software.

    + Prior experience in a specialty or surgical practice setting preferred
