The Document Specialist plays a critical role in creating, reviewing, and organizing comprehensive data packages for manufacturing and quality processes. This position ensures that all necessary documentation complies with customer and ISO9001/AS9100D standards, is complete, accurate, and formatted correctly before submission. Success in this role requires a high attention to detail, strong problem-solving skills, and the ability to manage complex document sets. Excellent organizational and communication skills are essential for coordinating with various teams and managing multiple projects simultaneously.
Essential functions and Responsibilities
• Document Collection & Organization: Gather, organize, and maintain all required documentation, including test reports, analysis records, specifications, and manufacturing records for each data package.
• PDF Management: Utilize PDF editing and merging tools to compile documents into a structured and finalized package, ensuring they are clear, accessible, and properly formatted.
• Data Documentation Review: Verify the completeness, accuracy, and consistency of documents, identifying any discrepancies and resolving them to maintain quality and precision.
• Data Package Structuring: Implement and uphold standardized naming conventions and logical file structures to ensure efficient management and retrieval of documentation.
• Version Control & Traceability: Track document revisions to ensure proper version control, avoiding the use of outdated or conflicting information, and maintaining an accurate history of changes.
• Quality Assurance & Compliance: Conduct quality checks on all documentation to ensure it adheres to AS9100D standards and meets customer expectations, maintaining high-quality documentation standards.
• Collaboration & Communication: Work closely with quality engineers, quality teams, and analysts to obtain and clarify documentation needs, ensuring seamless coordination across teams and departments.
Qualifications:
• Preferred Background: A background in quality assurance or a related field is highly preferred, though not mandatory.
• Education: A degree in a related field is a plus but not required.
• Key Skills:
o Strong attention to detail and accuracy in document creation and review.
o Excellent problem-solving skills to identify and resolve discrepancies in documentation.
o Strong organizational skills to manage multiple tasks and prioritize effectively.
o Clear and effective communication skills for collaborating with various teams and departments.
o Proficiency with PDF editing and merging tools and MS Office
o Familiarity with AS9100D standards and quality management systems is preferred.
