    GENERAL SUMMARY:

    Responsible for coordination and oversight of the hospital Medical Staff Services department including collaborative participation with the Centralized Credentialing Services (CCS) on the medical staff credentialing and recredentialing processes. Coordinates and manages medical staff meetings and the flow of the information from the Medical Staff Committees through the Medical Executive Committee to the Board of Trustees. Responds to verification requests. Acts as a resource to the medical staff regarding bylaws, rules and regulations, policies, regulatory and accreditation requirements, and standards. Assists in compliance with the accrediting and regulatory agencies (i.e., Joint Commission, NCQA, URAC, HFAP) in regards to credentialing while developing and maintaining a working knowledge of the statutes and laws. Coordinates the continuing medical education program and performs bookkeeping activities for the medical staff. Work closely with and maintain close communications with medical staff leaders, hospital administration and legal counsel on selected

     

    medical staff issues. Maintains the confidentiality of all business/work and medical staff information. Functions as a member of the team to assure optimum performance of the department.

    PRINCIPLE DUTIES AND RESPONSIBILITIES:

    + Interprets, explains, and follows all regulatory guidelines, including medical staff bylaws, rules, regulations, and policies.

    + Credentialing initial and reappointment applications to meet regulatory and department standards and deadlines.

    + Assists the medical staff leadership in the development of bylaws and policies.

    + Ensures that the comprehensive and specialized credentialing and privileging program complies will all accreditation (Joint Commission and AOA) and regulatory organizations.

    + Maintains a working knowledge of NPDB-HIPD querying and reporting requirements.

    + Processes the credentialing, reappointment, and privileging processes for medical staff, allied health professionals, locum tenens and visiting physicians.

    + Evaluates the completeness of the credentialing file once received from the CCS to ensure all required elements are obtained.

    + Works with medical staff leadership and hospital clinical staff for the approval and ongoing review of these practitioners.

    + Assures that all individuals with clinical privileges provide services within the scope of their training, licensure, ability to perform and individual privileges granted.

    + Responds to other facilities to provide references for staff or respond to verification requests.

    + Oversees the daily operations of the Medical Affairs Department.

    + Arranges room, food, and notices for medical staff meetings and continuing education.

    + Maintains, and distributes medical staff communication, including updates to the knowledge wall – newsletters, calendars, and post- meeting correspondence.

    + Originates and maintains agendas, minutes, and post-meeting correspondence for all medical staff committees and ad hoc committees established by the Chief of Staff or Medical Executive Committee.

    + Composes and disseminates correspondence for the Board to the medical staff as far as decisions related to credentialing, privileges, and special requests.

    + Provides support services to Medical Staff Leaders in fulfilling the responsibilities of their offices.

    + Manages Medical Staff financial accounts, collects required fees and dues and prepares required reports.

    + Coordinates the clearance of applicants for interview (if required) including any additional documentation needed to clear the candidate for review by the Credentials Committee.

    + Ensures that computer access for physicians and allied health practitioners are obtained and that Admission systems are updated to reflect current status of medical staff members.

    + Responsible for maintenance of practitioner information in the Credentialing Computer Software program for medical staff data base management and reporting physician demographic data to appropriate individuals.

    + Prepares credentialing reports and action items for the Credentials, Medical Executive, Quality and Safety Committees and the Governing Board.

    + Develops and implements systems which allow for the flow of information to and from medical staff committees into the performance improvement structure.

    + Maintains and generates performance related data for medical staff members and functions.

    + Ensures that the results of medical staff quality management findings are provided to appropriate review leadership/committees/clinical services and maintained in a confidential file.

    + Coordinates the planning of physician events and physician surveys.

    + Coordinates, distributes, and updates monthly Emergency Department Call

    + Schedules for all services.

    + Develops privilege criteria, privilege delineations, and other documents necessary to ensure that the requirements are consistent within specialties and that they meet the current guidelines as defined by specialty organizations.

    + Educates Medical Staff and Administrative leadership regarding new trends within the professional staff service area and stays abreast of developments as they pertain to the strategic plans of the organization.

    + Assists in the development of departmental operating and capital budget.

    + Interact with recruiters to ensure timely completion of files.

    + Responsible for maintenance of physician inactive files. This includes notification to system data, third party payors and managed care notification

    + Exhibit a high degree of responsibility for confidential matters.

    + Performs other duties as required which are subject to change at the discretion of management.

    EDUCATION/EXPERIENCE REQUIRED:

    + High school diploma or G.E.D. equivalent. Associate’s or Bachelor’s degree preferred.

    + Five (5) years in a hospital and/or managed care credentialing setting required.

    + Medical staff services experience preferred.

    + Knowledge of credentialing database, Visual Cactus preferred.

    + Six Sigma work environment experience preferred.

    + High level of energy to work in a fast-paced environment often including time deadlines, frequent interruptions, heavy workload, multiple demands, and multitasking. Ability to be flexible.

    + Strong organizational skills and ability to prioritize and re-prioritize, as necessary. Excellent and effective communication skills both written and verbal.

    + Word processing, data input, strong computer skill and letter composition skills required.

    + Ability to efficiently handle designated responsibilities independently in an accurate and timely manner.

    + Ability to positively interact with physicians, hospital personnel, and guests both in the office and on the phone. Excellent customer service skills required.

    + Excellent problem-solving skills.
