    Executive / Administrative Assistant

    General Counsel’s Organization:

    As a member of the General Counsel’s Organization (GCO), this Executive Assistant will provide administrative support to the Executive Vice President & Managing Counsel and one other Vice President on the Global Litigation & Investigations team. The successful candidate will provide organizational support, ensure that the team’s logistical needs are met and help to promote a positive atmosphere and work culture. A successful candidate is seasoned, experienced in handling a wide range of administrative tasks and able to work independently and confidently. Building positive relationships, being resourceful and knowing how to navigate large organizations fluidly will also be critical to success in this position.

    Role & Responsibilities:

    + Regularly interface with legal and business executives, associates and other contacts at all levels of the organization

    + Organizing and maintaining complex calendars using a high level of tact, influence and integrity, including scheduling across multiple time zones

    + Calendar management, including scheduling meetings with various colleagues internally and externally

    + Coordinating logistics for meetings, including scheduling conference rooms and technology support as required

    + Preparing, reviewing, and processing expense reports, and running expense report approvals, in line with company T&E policy and budget

    + Updating organization charts and team rosters

    + Supporting team administration including updating distribution lists, setting up group-wide team meetings, coordinating team real estate

    + Booking and coordinating travel arrangements including air and hotel bookings

    + Creating and updating matters via the GCO Billing/Matter Tracking System

    + Support various ad-hoc projects as needed, including through use of MS Word, Excel and PowerPoint

    + Processing of requisitions and other invoices, ordering supplies and handling ticket requests

    Minimum qualifications:

    + 5 years of previous experience as an Executive or Administrative Assistant and familiarity with office management and technologies

    + Proven experience providing support to executives with exceptional organizational, administrative, and interpersonal skills

    + Strong attention to detail with emphasis on accuracy, quality, timeliness and follow-through

    + Proficient in MS Word, PowerPoint, Excel and Outlook and comfortable adapting to new technology

    + Self-motivated, proactive team player with strong initiative

    + Enthusiasm to work collaboratively and proactively with the broader GCO team and build relationships across American Express

    + Ability to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting and changing priorities with little supervision

    + Excellent verbal and written communication skills

    + Must have strong integrity, reliability, and proven ability to handle confidential / critical information with discretion

    Preferred qualifications:

    + Experience with American Express systems and processes such as Concur, Reserve, TechCare, Ariba, etc.

    + Bachelor’s degree is a plus

    + Experience providing support to legal function is a plus

    Qualifications

    Salary Range: $38.45 to $57.70 hourly bonus benefits
