Description We are looking for a detail-oriented Senior Executive Assistant to join our team on a contract basis in Modesto, California. In this role, you will provide high-level administrative support to executive management, ensuring the smooth execution of daily operations and project coordination. If you excel in managing schedules, organizing meetings, and maintaining accurate records, we encourage you to apply.
Responsibilities:
• Deliver comprehensive administrative and analytical support for executive-level management, including coordination of projects and tasks.
• Manage executive calendars, schedule meetings, and ensure timely updates on appointments and daily priorities.
• Facilitate travel arrangements, conference bookings, and maintain detailed itineraries for executive management and board members.
• Organize and maintain records, documents, and filing systems, both manual and digital, to ensure easy access and accuracy.
• Record, transcribe, and distribute minutes from assigned meetings, ensuring timely follow-ups on action items.
• Attend meetings and provide support in coordinating agendas and logistics.
• Act as a liaison for communication, correspondence, and conference calls to ensure seamless interactions.
• Support industry and community event participation for executives by handling logistical arrangements.
• Utilize systems such as ADP, Cisco Webex, Concur, and Kronos to manage tasks efficiently. Requirements
• Associate’s degree or bachelor’s degree preferred, with a strong foundation in administrative practices.
• At least five years of progressive experience in providing administrative support at an executive level.
• Proficiency in tools such as ADP, Concur, Cisco Webex Meetings, and Kronos Timekeeping System.
• Exceptional organizational and calendar management skills to handle complex schedules.
• Strong verbal and written communication abilities to foster effective collaboration.
• Demonstrated ability to manage multiple priorities in a fast-paced environment.
• Experience with CRM systems and handling correspondence professionally.
• Knowledge of conference call platforms and travel coordination processes.
