Responsibilities:
GENERAL PURPOSE
The Department Coordinator plays a critical role in ensuring the smooth daily operations of the neurology practice. This position provides direct support to the Senior Practice Manager and oversees front-end operations including patient scheduling, communication, and coordination between clinical and administrative teams. The coordinator ensures efficient workflow, excellent patient service, and compliance with departmental policies.
ESSENTIAL FUNCTIONS
+ Supports Senior Practice Manager, OAR and OAR Leads assisting in overseeing all front-end operations, including but not limited to, check-in, check out, inbasket work and all front-end patient related tasks.
+ Supports Senior Practice Manager by assisting with administrative duties such as scheduling meetings, preparing reports, managing departmental communications, and coordinating staff activities.
+ Supports Senior Practice Manager on adherence to URMC Ambulatory policies, coaching staff on changes in departmental policies, compliance regulations, and best practices, and communicates these updates in a timely fashion.
+ Collaborates with the Senior Practice Manager to develop training materials, manuals, and workflow guides tailored to the neurology practice.
+ Also provides ongoing training and daily support to front-end staff related to all front-end tasks.
+ Monitors patient satisfaction and operational efficiency, identifying areas for improvement and implementing solutions in collaboration with the Senior Practice Manager.
+ Serves as a point person for Building D to coordinate and schedule regular maintenance and repairs to ensure the facility is safe, clean, and operational.

MINIMUM EDUCATION & EXPERIENCE
+ Associate's degree REQUIRED
+ 3 years of progressively responsible experience in administrative support REQUIRED
+ or equivalent combination of education and experience REQUIRED
KNOWLEDGE, SKILLS AND ABILITIES
+ Proficiency with Microsoft Suite, FileMaker Pro, virtual collaboration tools (Zoom, Box), Adobe, etc. REQUIREDOffice procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, event planning REQUIRED
+ Ability to effectively communicate and interact, both verbally and in writing, with all people REQUIRED
+ Intermediate knowledge of hardware and software functionality preferred
