    This is a great opportunity for an Office Assistant at Resort Group.

     

    $23-27/hr DOE (annual equivalent $47,840-$56,160)

    Summary: Assists and supports accounting divisions including running errands, mail, office administration, scanning, remote assist, data entry and light bookkeeping. This is an in-office position not available for remote work.

     

    Essential Duties and Responsibilities include the following. Duties may vary by division; other duties may be assigned.

     

    Maintains electronic filing system; downloads and files electronic records and invoices. Filing of all paid invoices, deposits, journal entries, bank statements, and annual upkeep of files.

     

    Collects, scans and distributes daily mail including Remote Assist for FTYR remote staff.

     

    Answers phone and directs inquiries to necessary staff.

     

    Runs errands daily – Drop off mail. Other errands as needed such as going to Courthouse to record documents or taking deposits to banks.

     

    Assists in both internal and external inquiries into invoice payments, receivables, expenditures, and other accounting transactions.

     

    Data entry such as inputting timesheets, invoices, owner bills, and other AR and AP transactions by following departmental processes and procedures to ensure authorization, coding, and recording of such transactions are completed timely to support other essential accounting functions.

     

    Light bookkeeping duties such as depositing checks, issuing checks for invoices, balancing statements and reconciliations.

     

    In charge of vendor setups (receiving new vendors, verification of information, setting up vendors in multiple systems) and maintaining an accurate record of vendors. Maintain current insurance information.

     

    Assist with creating and verification of HOA ACH files.

     

    Reconcile bank statements as assigned.

     

    Files annual HOA DORA and SOS Renewals.

     

    Supports both accounting divisions, as needed or required.

     

    Assists with related special projects, as needed or required.

     

    Safety and Security - Observes safety and security procedures; Determines appropriate action beyond guidelines; Reports potentially unsafe conditions, Uses equipment and materials properly. 

     

    This position requires a valid driver's license with clean driving history for insurability purposes.

    Qualifications:

    Education/Experience:

    High School Diploma, 6 months or more clerical/office experience or equivalent education. Familiarity with reading checks, invoices, and spreadsheets or experience working in an accounting department is helpful.

    Language Ability:

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

    Math Ability:

    Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply concepts of basic algebra.

    Reasoning Ability:

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Computer Skills:

    To perform this job successfully, an individual should have knowledge of Microsoft Office especially Excel, word and Outlook, PDF programs especially Nitro PDF, and QuickBooks is helpful.

    Certificates and Licenses:

    Valid driver’s license with good driving record.

    Supervisory Responsibilities:

    This job has no supervisory responsibilities.
