    We are seeking a highly motivated Research Office Assistant (to work as a temporary Vitalief employee) to support front-desk operations for our client’s Department of Orthodontics within their School of Dental Medicine. The ideal candidate must be fluent in both English and native-level Spanish, with excellent communication and organizational skills.

     

    Work Location:  Newark, NJ – 100% on-site

     

    Work Schedule: Full-Time hours (Monday to Friday, 9:00 AM – 5:00 PM)

     

    Duration: 3 Months (with potential for extension based on performance and departmental needs)

     

    Pay Rate: $20/hr to $23/hr - depending on experience

    Key Responsibilities:

    + Greet and check in patients and visitors in a professional and courteous manner.

    + Answer and direct incoming phone calls in both English and Spanish.

    + Schedule and confirm patient appointments using the electronic dental record system.

    + Assist with patient intake, forms, and basic insurance verification.

    + Maintain and organize front-desk documentation and patient records.

    + Communicate effectively with students, faculty, patients, and staff.

    + Ensure the reception area remains tidy and presentable.

    + Perform general administrative duties, including filing, scanning, and email correspondence.

    Required Skills:

    + High school diploma or equivalent required; associate degree preferred.

    + Fluent in English and native-level Spanish (speaking, reading, and writing).

    + Minimum of 1 year of receptionist, administrative, or customer service experience (medical or dental setting preferred).

    + Excellent interpersonal and communication skills.

    + Proficient in Microsoft Office Suite and comfortable with digital scheduling systems.

    + Ability to multitask in a fast-paced academic/clinical environment.

    + Professional demeanor and strong attention to detail.

     

    PHYSICAL DEMANDS: Prolonged periods of sitting at a desk and working at a computer.  Standing, walking, visual perception, talking and hearing.  Lifting up to 20lbs.
