    Job Description:

    The Research Coordinator III is a unique position serving extramural awards managed

     

    within the UF Prevention and Intervention Network (PIN) for Youth, Families, School

    and Communities, a relatively new Center dedicated to improving the health and well-

    being of children and youth. The focus of most current research is related to mental

     

    health supports and services in schools, but has potential to expand as new

     

    investigators are joining PIN in the 2025-26 academic year.

     

    The position will join a team of faculty, postdoctoral research fellows, research scientists, graduate research assistants, and undergraduate volunteers at UF and collaborating sites across the nation. Successful candidates for this position will have exceptional management and coordinating skills, motivation to excel at project, event, and team management, strong communication skills keeping project partners, team members and auxiliary services in the College engaged and updated, independence and prudent judgement when completing tasks and responsibilities, professional interest in advancing skills, and commitment to helping the team grow PIN's research portfolio.

     

    The person filling this position must be adaptable and able to perform many tasks at a high competency level necessary to meet the changing priorities and innovative directions of PIN. This is an experienced, professional level position, ideal for candidates with established careers in project and research management, able to meet tight timelines with occasional travel, as well as nights and weekends when deadlines are near.

     

    The position is twelve-month, time-limited, with an initial appointment for one year. Continuation of the appointment is contingent upon the availability of funding and satisfactory performance in the position.

    Duties and responsibilities:

    Project and Research Management

     

    + Tracking timelines for all activities on assigned awards and Center work, work with faculty/staff to assign tasks and review final products, collaborate in and lead project and center meetings necessary to organize award activities and meet timelines.

    + Lead the development of all research manuals and protocols, assess protocol feasibility, and makes changes as necessary.

    + Manage evaluation and data collection activities in coordination with project investigators and study staff, possibly including data collection scheduling, qualitative interviewing and transcription, online survey development and administration, response tracking, entry, cleaning and preparation for analysis, and descriptive summary presentation using research-related software.

    + Educate partners, staff and investigators on study protocols and monitor compliance. Draft, edit, and review IRB and other regulatory study documents, such as consent and recruitment documents, as well as IRB protocol.

    + Prepare and coordinate sponsor and related progress and performance reports and monitor reporting requirements.

    + Maintain relevant trainings for this position and funded studies, including IRB, university, and federal regulations and policies.

    + Maintain research space, files, computers/equipment, and software licenses.

    + Maintain cooperative, collaborative working relationships with project leaders and personnel across sites, including grant partners in schools. Visit school sites as needed.

    + Serve as PIN’s main point of contact for College auxiliary services regarding operations, such as Post Award Coordinated Services, business office, and SESPECS staff.

    + Maintain auditable records of program activities

     

    Pre and Post-award Administration Tasks

     

    + Collaborating with Post Award Coordinated Services area to monitor budget

     

    expenditures, process modifications as needed, and manage subcontracts and vendor agreements.

     

    + Assist with development, management, authorization, and transmittal of extramural research proposals including support with ancillary documents and budget preparation.

    + Provide pre-award support including reviewing requests for proposal, identifying the specific requirements, and confirming policies are met while ensuring they are within or consistent with those of UF and tracking progress to facilitate on-time transmittal.

     

    Stakeholder Engagement and Dissemination

     

    + Supports development and delivery of dissemination opportunities including

     

    publications, seminars, workshops and conference presentations.

     

    + Oversee development and maintenance of study and center websites and social media sites.

    + Supports continued engagement of all center and study stakeholders including potential.

    + PIN-affiliated investigators, study school personnel, project investigators and personnel, advisory boards, engagement staff, study participants, and data collectors.

    + Collaborates with investigators and study staff to oversee execution of study, project, and center events such as study trainings, workshops, advisory board meetings and other stakeholder engagement events.

     

    Other duties as assigned

     

    + This position will work closely with many aspects of work amongst PIN center faculty/staff that are innovative and dynamic thus resulting in many new opportunities and challenges that may likely change the duties associated with the work.

    Expected Salary:

    Salary is commensurate with education and experience.

     

    Required Qualifications:Bachelor’s degree in an appropriate area and three years of relevant experience; or an equivalent combination of education and experience.

    Preferred:

    + Extensive experience managing research projects that are conducted in applied

    settings, such as public school systems

    + Experience working in schools and/or with school mental health practices and

     

    interventions.

     

    + Familiarity with grant submission (pre-award) and administration (post-award).

    + 2-3 years of research and/or project management at the University of Florida

    + Proficient and advanced skills in any of the following software/applications: Microsoft Office Suite (especially Excel), Peoplesoft, OneDrive, UFGO, data collection and management software (Qualtrics and/or REDCap), and design applications (Canva) a plus.

    + Adept at using technology to manage social media and websites on computer browser and mobile devices.

    + High level of professionalism, attention to detail, organization, communication skills, ability to work independently, manage and delegate to a team, prioritize and manage multiple competing demands, meet deadlines, anticipate and identify conflicts, and flexible thinking to solve problems quickly and calmly.

    + Proven ability to work well in a demanding, fast-paced deadline-driven work

     

    atmosphere with the ability to assess the environment and adjust plans according to situation.

     

    + Demonstrated integrity, dependability, sound judgment, teamwork and

     

    resourcefulness to establish and maintain collaborative, positive and effective working relationships with multiple internal and external partners.
