A well respected and successful industry leader is looking for a highly capable and proactive Executive Assistant (EA) to support their CEO in a dynamic, multi-state organization with diverse business operations and a workforce of several hundred employees. This role is essential to maximizing the CEO’s effectiveness by managing complex calendars, streamlining communication, and supporting key strategic initiatives. The Executive Assistant will serve as a key partner to the CEO, providing critical support as the company grows and adapts in a dynamic, competitive market.

Executive Support Responsibilities Include:
Calendar, Travel & Communication Management
+ Manage the CEO’s complex and dynamic calendar by scheduling and confirming high-level meetings across multiple time zones with internal teams, clients, and external partners.
+ Prioritize and adjust appointments to accommodate urgent business needs.
+ Coordinate travel plans in alignment with the CEO’s schedule.
+ Oversee the CEO’s inbox by responding when appropriate and drafting polished emails, reports, and presentations.
Strategic Project Coordination Responsibilities:
+ **Cross-Departmental Liaison & Project Management:** Act as the CEO’s liaison to departments, ensuring clear communication and alignment with company goals. Track strategic projects by monitoring deadlines, preparing status reports, identifying risks, and recommending solutions to keep initiatives on track.
+ **Data Analysis & Reporting:** Support strategic decision-making by gathering, analyzing, and presenting data through detailed reports, dashboards, and summaries.
Meeting & Event Management Responsibilities:
+ Executive Meetings & Company Events: Prepare agendas, organize materials, and ensure the CEO is meeting-ready. Take notes, track action items, and follow up on completion. Plan and manage logistics for leadership retreats, company meetings, and special events to ensure smooth execution.
Operational Efficiency Responsibilities:
+ **Process and Resource Management:** Identify and implement improvements to streamline administrative workflows and enhance productivity, while assisting in procuring office supplies, technology tools, and resources needed for the CEO’s daily operations.
Qualifications:
+ Bachelors degree in Business Administration, Communications, or a related field preferred. Equivalent work experience considered.
+ Minimum of 5+ years of experience supporting C-level executives in a high- growth, multi-state business environment.
+ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with communication and CRM management tools (e.g.,Salesforce, Company Cam, Slack).
+ Strong communication and organizational and time management skills
+ Organizational Skills:Strong ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
+ High level of integrity, discretion, and professional maturity, with the ability to handle confidential information with care.
Preferred Skills:
+ Experience in the construction, contracting, or related industries.
+ Advanced project management experience is a plus.
+ Familiarity with CRM platforms and enterprise resource planning (ERP) systems.
+ Operational support experience in multi-state business environments
+ Bilingual (Spanish and English speaking) is helpful
