    Operations Manager – Office Services (Outsourcing / Multi-Client Sites)

     

    We are looking for a seasoned Operations Manager to lead and oversee outsourced office services across multiple client sites. This role demands an experienced leader with a strong background in managing service lines such as mail, shipping/receiving, copy/print, receptionist/switchboard, and related office support functions.The ideal candidate will have a solid track record in outsourcing environments, delivering measurable value to clients through operational excellence, compliance, and superior customer service.

    Key Responsibilities: Client Relationship & Contract Management

    + Serve as the primary point of contact for multiple client sites, ensuring satisfaction and retention.

    + Manage the execution and adherence to client contracts, including Scope of Work and Service Level Agreements (SLAs).

    + Conduct quarterly and annual client business reviews.

    + Monitor and report on client satisfaction through surveys and feedback mechanisms.

    Service Delivery & Operational Excellence

    + Implement and enforce TMG Best Practices across all service lines.

    + Oversee day-to-day site operations to ensure high quality, efficiency, and consistency.

    + Develop and maintain site-specific operations manuals, process documentation, and workflow diagrams.

    + Ensure continuous process improvement and implement corrective actions as needed.

    Human Resources & Staff Development

    + Hire, onboard, and train new employees according to TMG standards.

    + Conduct regular performance reviews, provide coaching, and address employee relations issues.

    + Manage payroll, attendance, disciplinary actions, and ensure HR compliance.

    Budgeting & Financial Oversight

    + Monitor site budgets (primarily salary costs) to ensure profitability and cost control.

    + Review and submit billing and payroll data in a timely and accurate manner.

    + Track financial performance and support TMG's financial goals through efficient resource allocation.

    Reporting & Compliance

    + Ensure timely completion of all required reports, including:

    + Monthly operational reports (due by the 10th)

    + Site audits

    + Semi-annual and annual account reviews

    + Customer satisfaction surveys

    + Maintain site compliance with safety standards, company policies, and client expectations.

    Leadership & Communication

    + Set the tone for team performance and client service through ethical, consistent leadership.

    + Facilitate regular team meetings and training sessions.

    + Establish clear communication channels with both internal teams and client representatives.

    Minimum Qualifications:

    + 5–7 years of leadership experience in a multi-site, outsourced office services environment.

    + Bachelor's degree in Business Administration or 7–10 years of industry experience.

    + Proven ability to manage and motivate cross-functional teams across different locations.

    + Exceptional client relationship, organizational, and problem-solving skills.

    + Experience with contract compliance and vendor management.

    + Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).

    + Willingness to travel to client sites as needed.
