Core responsibilities include managing the full lifecycle of portfolio onboarding, streamlining process workflows, and overseeing data integrity efforts—such as naming convention standardization and platform updates (Intelligree, SharePoint). The Project Specialist also monitors compliance through tools like GRMS, Aravo, and Bravo, manages COI collection and filing, and delivers reporting for strategic partner program performance.
The role requires close collaboration with internal teams and external partners, including client sourcing managers, transition administrators, centralized AR, CSOs, and NAS leadership. Ideal candidates are proactive, highly organized, and skilled in navigating fast-paced, client-facing environments with a strong focus on detail, communication, and follow-through.
Essential Functions
+ Own end-to-end onboarding process for all commercial real estate portfolio clients, ensuring timely and accurate integration across systems.
+ Manage and maintain data across platforms such as Intelligree and SharePoint, ensuring consistency, standardization, and traceability.
+ Streamline onboarding workflows and contribute to process automation initiatives that increase efficiency and reduce manual errors.
+ Oversee portfolio compliance by maintaining vendor records and documentation in systems like GRMS, Aravo, and Bravo.
+ Track and report new client and firm additions, providing regular updates to internal stakeholders and leadership.
+ Request, deliver, and file Certificates of Insurance (COIs) to meet compliance and audit requirements.
+ Support strategic partner program success by maintaining and reporting on compliance metrics and deliverables.
+ Collaborate cross-functionally with sourcing managers, transition administrators, CSOs, NAS leaders, and AR teams to ensure alignment and client satisfaction.
+ Proactively identify and resolve discrepancies in portfolio data, including customer and site naming conventions.
_Required Competencies_
+ Have a strong work ethic and be detail oriented.
+ Ability to read and interpret blueprint, schematics, diagrams, instructions, etc. as presented in English.
+ Ability to collaborate and communicate with internal and external teams and end users in English.
_Education, Experience, and Eligibility Requirements_
+ Bachelor's degree in business administration, contract management, or a related field.
+ Minimum of 3 years of experience in property administration, preferably within the state and local education vertical.
+ Strong understanding of contract law, procurement regulations, and compliance requirements.
+ Excellent communication, negotiation, and relationship-building skills.
+ Strong analytical skills and attention to detail.
+ Ability to work independently and as part of a team in a fast-paced environment.
+ Proficiency in Microsoft Office applications, particularly Excel and Word.
+ Experience with contract management software preferred.
+ Must present proof of ability to legally work in the United States.
+ Must have a valid driver’s license.
+ Must be able to clear a drug screening in accordance with company policy and applicable law.

Overall, your contribution as a Contract Specialist will be crucial to driving growth and maintaining strong relationships with agency customers and contract partners. You will work closely with other departments within Everon to ensure that all contract obligations are met, and contracts are executed efficiently and in a timely manner.
To accomplish these tasks, you will work closely with sales teams. You will also work with legal teams to ensure that all contracts adhere to legal requirements and company policies.
