    Job Title: Accounting Supervisor

    Position Overview

    The Accounting Supervisor position is an individual contributor role, managing the accounting processes, not people. This role plays a vital role in supporting the mission of our client by ensuring accurate, timely, and compliant financial and operational processes. This role is responsible for managing the firm’s accounting functions, billing, payroll, benefits administration, and supporting human resources and facilities management. It is a central position that promotes financial integrity, operational efficiency, and organizational compliance across departments. This role will be 3 days/MONTH onsite in Minneapolis.

    Core Responsibilities

    Financial Management & Accounting

     

    + Oversee cash flow, banking operations, and accounts payable activities

    + Perform monthly reconciliations of operating and IOLTA trust accounts

    + Prepare monthly and year-end financial reports (Trial Balance, Balance Sheet, Income Statement)

    + Lead month-end and year-end close processes

    + Maintain and troubleshoot financial software, including system updates

    + Record cash-related transactions

    + Allocate monthly credit card expenses to the general ledger

    + Develop, monitor, and report on annual budgets

    + Prepare and distribute Partner entitlements and related reports

    + Ensure compliance with tax filings and regulatory financial requirements

    + Maintain IOLTA trust accounting in accordance with legal standards

     

    Billing & Invoicing

     

    + Develop and maintain monthly billing schedules

    + Generate, review, and finalize monthly pre-bills and invoices

    + Issue monthly client statements and address billing inquiries

    + Enter time entries daily and maintain accurate billing data

    + Manage billing rates for timekeepers and clients

    + Track and process costs from USPTO, foreign associates, and annuity providers

    + Produce monthly billing and timekeeping reports

     

    Payroll & Benefits Administration

     

    + Process biweekly payroll and maintain employee compensation and PTO records

    + Administer employee benefits programs (health, dental, HSA, STD/LTD, COBRA)

    + Oversee 401(k) and retirement plans, and commuter benefits (parking, transit)

    + Manage Workers’ Compensation insurance and coordinate audit responses

    + Ensure compliance with federal and state payroll and benefits regulations

    Requirements

    Qualifications

    + Education: Bachelor’s degree in accounting, Finance, Business Administration, or related field is ideal. Associate's degree with relevant experience will be considered

    + Experience: 5+ years in financial or accounting roles, preferably within a legal, professional services, or similar environment

    + Technical Skills: Proficiency with accounting software systems, Microsoft Excel, and payroll systems
