    Print & Mail Quality Assurance Specialist

     

    Department: Quality Control

     

    Reports to: Quality Control Manager

     

    Full-Time: A typical work schedule is standard business hours, 8:30 a.m.– 5:00 p.m., with the flexibility to handle escalations or support during peak times or special projects.

     

    Pay Schedule: Weekly

     

    Non-Exempt: Compensation starts at $42,000 - $55,000 annually, depending on experience.

     

    Shift Differential: 2nd Shift, +$1. hour , 3rd Shift, +$2. Hour (Based on hours worked)

    Benefits: Begin the first day after the first two full months of employment

    Position Summary

    The Print & Mail Quality Assurance Specialist ensures the accuracy, quality, and compliance of printed and mailed materials to company and client specifications. This position is critical in maintaining quality standards and identifying issues within the production and mailing processes. The role involves conducting detailed inspections of printed mail items, identifying discrepancies, and coordinating with relevant departments to rectify matters. The specialist must maintain the privacy and security of information, as errors can significantly impact client satisfaction and compliance.

    Essential Functions

    The essential functions include, but are not limited to, the following:

    + Perform quality control inspections on printed and mailed materials to ensure accuracy and compliance with job specifications.

    + Verify data integrity, print alignment, color accuracy, and print quality.

    + Conduct sampling and testing of finished mail pieces to ensure adherence to postal regulations and customer requirements.

    + Document and report defects, discrepancies, or process failures and work with the production team to resolve issues.

    + Ensure compliance with company policies, industry standards, and regulatory requirements, including USPS guidelines.

    + Maintain accurate records of quality inspections and findings.

    + Collaborate with the production, data processing, and customer service teams to improve quality and efficiency.

    + Assist in developing and implementing quality assurance procedures and best practices.

    + Perform final inspections before releasing materials for mailing or distribution.

    + Support continuous improvement initiatives by identifying trends, providing feedback, and recommending process enhancements.

    + Operate quality control equipment and tools as required.

    + Train team members on quality control standards and procedures.

    + Examine incoming and outgoing mail for accuracy and consistency.

    + Compare mail items against established criteria and documentation.

    + Identify and document any discrepancies or errors in printed mail.

    + Maintain detailed records of mail comparisons and findings.

    + Prepare regular reports on the status and quality of mail items.

    + Document processes and procedures for mail comparison.

    + Perform other duties as assigned.

     

    Key Performance Indicators (KPIs)

     

    + Defect Rate: Percentage of printed and mailed materials found with errors during quality checks.

    + Compliance Rate: Percentage of jobs meeting USPS and company regulatory requirements.

    + Inspection Accuracy: Number of quality checks completed with accurate issue identification.

    + Turnaround Time: Average time taken to conduct quality inspections and resolve issues.

    + Customer Complaint Rate: Number of quality-related customer complaints per month.

    Additional Responsibilities

    + Employees may be required to perform duties outside their primary responsibilities or assigned department, as reasonably requested by management. These duties may occasionally occur outside regular working hours, provided they align with applicable labor laws.

    On-Call Requirements

    + If you are called in to work outside your regular schedule, you are expected to work at least four hours unless otherwise directed by management.

     

    Physical Demands

     

    The physical demands described here represent those that an employee must meet to perform the essential functions of this position successfully.

     

    + Work is performed in a warehouse or production facility environment.

    + May be exposed to varying temperatures, noise, dust, and printing chemicals.

    + Must be able to lift 50 pounds, push 800 pounds on a load-bearing cart, carry 25 pounds, and pull 200 pounds.

    + Must be able to use hand tools, pallet jacks, and forklifts.

    + Requires frequent standing, walking, crouching, bending, kneeling, lifting, and using repetitive motions of hands or wrists; finger, grasp, handle, or feel; reach with arms and hands for extended periods.

    + Fast-paced, deadline-driven setting requiring the ability to manage multiple tasks simultaneously.

    Minimum Qualifications

    + A high school diploma or equivalent is required; an associate degree or higher in a related field is preferred.

    + Previous experience in quality assurance within a print and mail production environment is preferred.

    + Strong attention to detail and problem-solving skills.

    + Knowledge of USPS mailing requirements and printing processes is a plus.

    + Proficiency in Microsoft Office Suite and ability to use quality control software/tools.

    + Excellent verbal and written communication skills.

    + Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.

    + Strong organizational and time-management skills.
