The Department of Neurology has an outstanding opportunity for a Manager of Program Operations to join their team.** **POSITION PURPOSE
The Department of Neurology seeks a strategic, collaborative, and forward-thinking Manager of Education Programs to lead and enhance its comprehensive portfolio of fellowship, residency, undergraduate medical education programs, and departmental CME series. This role provides high-level operational and strategic leadership for ACGME- and non-ACGME-accredited fellowship programs, adult and pediatric neurology residency programs, the Neurology required clerkship, and departmental CME activities.
The Manager collaborates closely with the Vice Chair of Finance and Administration, physician Program Directors, and the Vice Chair of Education to ensure compliance, quality, and innovation across all educational initiatives. The role involves designing and implementing standardized administrative processes, overseeing accreditation and compliance, evaluating new program opportunities, and advising leadership on strategic decisions to improve program performance and alignment with departmental goals.
This role is ideal for an innovative leader with a strong background in graduate medical education who is passionate about building scalable systems, streamlining processes, and mentoring a team in a fast-paced, mission-driven academic medical environment.
This position operates within a highly matrixed environment across multiple hospitals, clinics, and institutional partners, including the UW School of Medicine, UW Graduate Medical Education (GME) Office, UW Continuing Medical Education (CME) Office, and external accrediting bodies such as the ACGME, LCME, and UCNS. The Manager must possess a deep understanding of education policy, accreditation standards, and institutional regulations while also managing the nuanced needs of multiple unique fellowship programs and clinical training environments.
The role requires the ability to think strategically while managing day-to-day operations, balance multiple high-priority projects under strict deadlines, and proactively identify opportunities for process improvement and standardization. The Manager must also demonstrate exceptional interpersonal skills and emotional intelligence skills in working with a diverse community of trainees, faculty, and staff, often navigating sensitive and confidential matters with discretion and professionalism.
The Manager of Education Programs plays a critical role in advancing the success and reputation of the Department of Neurology's educational mission and national reputation. Effective administration and strategic growth of the adult and pediatric residency programs, ACGME- and non-ACGME-accredited fellowships, medical student education, and continuing medical education programs directly impact the department’s ability to attract premier trainees, sustain national accreditation, and elevate the University of Washington’s standing as a leader in neuroscience education.
Poor execution of these responsibilities could delay program approvals, compromise accreditation, and result in missed recruitment cycles, loss of clinical revenue, or diminished academic rankings.
**DUTIES AND RESPONSIBILITIES** Strategic Program Leadership & Planning – 45%
• Lead strategic planning and implementation of educational initiatives (fellowships, residencies, clerkships, CME), including daily operations and development of 1–5-year business plans, ensuring alignment with compliance requirements and institutional goals.
• Conduct research and analyze data to evaluate program effectiveness, identify gaps, and provide decision-making support to department leadership; Assemble and analyze program data to prepare reports, proposals, and strategic recommendations
• Assess trainee wellness across educational programs; consult with Department leadership, Program Directors, UW GME, accrediting bodies, and HR as needed to address concerns.
• Design and implement standardized processes, templates, and workflows across fellowship, clerkship, and School of Medicine (SoM) programs to improve consistency, efficiency, and equity.
• Evaluate and guide the development of new clinical fellowship programs, including leading the Graduate Medical Education Fellowship Application Form (GAF) process and fulfilling other institutional review requirements.
• Ensure all education programs align with departmental priorities, comply with accreditation standards, and support the department’s ability to recruit and retain high-caliber trainees.
• Facilitate cross-functional collaboration and proactively communicate program updates and policy changes.
Compliance & Evaluation – 15%
• Direct the accreditation and program evaluation processes for all ACGME- and non-ACGME-accredited fellowships, clerkships, and CME programs.
• Lead efforts to ensure program compliance with university, state, and federal regulations, as well as standards set by the ACGME, UCNS, LCME, and other accrediting bodies.
• Oversee the development and implementation of faculty development tools that align with GME/ACGME/UCNS/SOM/CME competencies and support effective teaching practices.
• Serve as a subject matter expert on accreditation requirements; monitor regulatory changes and advise faculty and staff on policy implications.
• Coordinate the preparation and submission of accreditation documentation, annual updates, program evaluations, and materials for site visits and self-studies.
• Support internal reviews and audit readiness; propose and implement improvements to enhance compliance, efficiency, and accountability.
• Ensure reporting of key metrics and program data needed for institutional accreditation (e.g., The Joint Commission) and hospital partners.
• Monitor changes to accreditation standards and advise faculty/staff on compliance implications.
Fellowship Program Support - 10%
• Partner with fellowship director to manage 1-3 small fellowship programs
• Oversee program accreditation, ensuring the programs meet the educational goals and requirements of accrediting bodies.
• Manages schedule and evaluations management
• Manages annual recruitment process, on-boarding and off-boarding of fellows
Supervision & Operational Oversight – 10%
• Supervise and support a team of Program Operations Specialists (minimum 2.0 FTE), including performance management, training, and professional development.
• Supervise and support the Adult Program Residency Manager who has 2.0 FTE direct reports (1 professional and 1 classified FTE), including performance management, training, back-up support and cross coverage.
• Develop and maintain clear staffing models, roles, and responsibilities; ensure cross-training and coverage for all education functions.
• Standardize workflows and operational procedures across education programs; identify and implement process improvements.
• Define and track program metrics and benchmarks to evaluate performance, highlight opportunities, and support continuous improvement.
Budget Management – 10%
• Collaborate with department finance staff to develop and manage operational budgets for education programs.
• Approve expenditures and audit program spending to ensure alignment with budget goals and compliance with institutional, state, and federal regulations.
• Allocate program resources strategically, based on priorities, program growth, and evolving operational needs.
• Provide fiscal oversight to ensure responsible stewardship of department education funds.
Other Duties as Assigned - 10%
• Maintain a strong working knowledge of the Adult and Pediatric Neurology Residency Programs through regular communication and meetings with the Vice Chair of Education and Vice Chair of Finance and Administration; serve as backup to program contacts during planned or unplanned absences.absences.
• Support the residency program team on time-sensitive projects and operational needs to ensure uninterrupted service delivery.
• Lead planning and execution of the annual fellow/resident graduation event, ensuring it is delivered smoothly, on schedule, and within budget.
• Perform additional duties as assigned to support departmental goals and initiatives.
MINIMUM REQUIREMENTS
• A Bachelor's degree in Education, Public Administration, Health Administration, Social Sciences, or a related field.
• At least three years of progressively responsible experience in academic program management, graduate medical education, healthcare administration, or similar field.

• Demonstrated experience with strategic planning, process improvement, and managing complex operations involving multiple stakeholders.
• Excellent written and verbal communication skills, including the ability to clearly communicate policies, procedures, and compliance updates to a wide range of audiences.
• Proven ability to manage multiple high-priority projects with attention to detail, sound judgment, and confidentiality.
• Proficiency with Microsoft Office Suite and education program management platforms (e.g., MedHub, E*Value, QGenda).
DESIRED QUALIFICATIONS
• Master’s degree in Higher Education Administration, Public Health, Healthcare Administration, or a related field.
• Minimum of two years of supervisory or team leadership experience, including responsibility for performance evaluation, training, and workflow management.
• Strong working knowledge of accreditation standards, institutional policies, and compliance requirements related to graduate medical education (e.g., ACGME, UCNS, LCME, UW GME).Experience in an academic medical center or higher education setting.
• Familiarity with University of Washington systems, departments, and administrative procedures.
• Experience leading or supporting the launch of new clinical fellowship programs, including oversight of the GME Fellowship Application Form (GAF) process.
• Knowledge of budget development and financial management in a complex academic or healthcare environment.
• Strong commitment to equity, diversity, and inclusion in academic and healthcare training programs.
• Experience coordinating with faculty leadership and senior administrators on strategic education initiatives.
