    Scope of Job

    Responsible for assisting with the development, communication, training, oversight and monitoring of compliance programs within the University. Responsible for investigating, researching and resolving compliance claims received via phone, email from inception to resolution per university policy.

    Description of Duties

    + Responsible for assisting with the development, communication, oversight and monitoring of compliance programs within the University.

    + Ensures that compliance issues received are fully resolved following university policy.

    + Responsible for monitoring, analyzing and providing responses to all compliance inquiries raised through the Compliance Office departmental email and the Compliance Office telephone number. This includes researching and interpreting policy and coordinating with other university departments as necessary.

    + Reviews, analyzes and records compliance concerns or questions reported into the Navex software for proper monitoring and timely resolution.

    + Plans, develops and coordinates compliance awareness campaigns at UTRGV work sites.

    + Plans, develops and delivers compliance training throughout the university.

    + Collects information on compliance reports of varying degrees of difficulty and conducts investigations and develops and prepares responses as needed.

    + Monitors, administers and maintains the portal for Outside Activities and Interests reporting and all of its functions. This includes setting up email communications, answering questions and advising employees on how to complete portal reporting, assisting employees in the development of management plans and analyzing and preparing reporting metrics. Serves as the main point of contact with UT System for all Outside Activities and Interests reporting portal matters, including coordinating system upgrades and related testing, and maintaining the Portal crosswalk (employee listing) and granting and maintaining portal access.

    + Responsible for preparing, reviewing and analyzing internal compliance metric reports for inclusion in quarterly Executive Compliance Committee reporting.

    + Coordinates, evaluates and prepares quarterly reporting and verification through inspections and walk-throughs as assigned.

    + Manages the development and distribution of mandated training for all employees of UTRGV and conducts New Employee Orientation compliance sessions.

    + Oversees the compliance training software functions including but not limited to: mandated training for all faculty and staff, generating report metrics and reviewing, analyzing and responding to all questions received through its corresponding departmental email account. Coordinates, reviews, resolves and reports compliance training issues for all content owners.

    + Responsible for developing and maintaining compliance trainings.

    + Participates in the development, research and monitoring of management plans for potential conflict of interest or outside employment for employees.

    + Analyzes and prepares compliance ad hoc reports as needed for different university stakeholders as needed.

    + Generates training reports to confirm completion of mandated training for employee tuition assistance and merit eligibility. Responsible for managing and providing responses for all emails sent to the Conflict-of-Interest department account.

    + Reviews and prepares monthly follow up reports on action items through closure.

    + Prepares agenda material and minutes for Executive Compliance Committee.

    + Keeps abreast of rules and regulations impacting the compliance area. Performs other duties as assigned.

    Required Education

    Bachelor’s degree from an accredited university.

    Preferred Education

    Bachelor’s degree from an accredited university in Business Administration.

     

    Licenses/Certifications

    Required Experience

    Two (2) years of related experience obtained in areas of compliance, audit or working with program coordination.

    Equipment

    Knowledge of personal computers, with a solid working knowledge of Microsoft Word, Excel and Access. Standard office equipment.

    Working Conditions

    Needs to be able to successfully perform all required duties. General office environment; some travel and weekend work is required. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley.

    Must have excellent writing, verbal and interpersonal skills for presentations and interviewing; must also possess strong analytical skills combined with a positive attitude. Ability to focus on details and learn unfamiliar processes and regulations quickly. Ability to interpret policy and regulation. Strong attention to detail, research and problem-solving skills.
